- Provide high-level administrative support to 3 Executive Vice Presidents and 3 Market Sector Vice Presidents , ensuring smooth day-to-day operations and effective prioritization.
- Manage complex calendars, including scheduling across time zones, resolving conflicts, and preparing leaders with agendas and materials.
- Coordinate travel (flights, accommodations, itineraries) with strong attention to detail.
- Prepare and process expense reports and timecards accurately and on time.
- Provide general administrative support including document preparation, meeting of minutes, correspondence, and coordination.
- Deliver end-to-end meeting support including scheduling, agenda preparation, materials, and action tracking.
- Support executive and corporate meetings in partnership with the Executive Assistant to the President & CEO.
- Coordinate logistics for meetings, offsites, and events, including venues, catering, and onsite technology.
- Liaise with internal teams and external vendors to ensure seamless execution.
- Anticipate needs and proactively manage competing priorities across multiple stakeholders.
- Support coordination of executive activities, branch visits, and leadership initiatives.
- Track Learning Hub participation and follow up on completion.
- Maintain clear communication and coordination across executive teams.
- 5+ years experience providing senior administrative support, preferably to multiple senior leaders in a professional services environment.
- Strong Microsoft 365 proficiency (Outlook, Excel, Word, PowerPoint, Teams) and confidence learning new systems and tools.
- Excellent communication skills (written and verbal), with a polished, professional approach when working with executives and stakeholders.
- Exceptional organization and attention to detail: with the ability to manage multiple priorities in a fast paced environment.
- Proactive, solutions oriented mindset: strong follow through and the ability to anticipate needs.
- Experience supporting meetings and logistics, including scheduling, coordination, tracking action items, and follow-ups.
- Professional, reliable, and adaptable, with a strong customer service mindset and collaborative approach.
