- Coordinate space bookings, including intake, scheduling, confirmations, and calendar management.
- Serve as the on-site host by welcoming guests, providing wayfinding, and supporting meeting organizers.
- Prepare meeting rooms with appropriate seating, signage, and materials to ensure readiness.
- Coordinate catering and refreshments, including vendor communication, ordering, and delivery logistics.
- Provide basic audiovisual (AV) and technology support for presentations and hybrid meetings.
- Collaborate with internal departments such as Marketing/Communications, IT, and Facilities to support events and bookings.
- Maintain the engagement space to brand standards, including daily tidying and resetting between meetings.
- Identify facility needs, submit maintenance requests, and track completion.
- Support event execution, including setup, on-site coordination, and post-event wrap-up.
- Manage supplies and inventory, coordinating light purchasing as required.
- Coordinate external vendors such as catering, cleaning, and equipment providers.
- Develop and maintain checklists and playbooks to ensure consistent service delivery.
- Track basic usage insights and feedback to support continuous improvement.
- Ensure visitor sign-in procedures and workplace safety protocols are followed.
- Act as an ambassador for the engagement space by promoting awareness and supporting community use.
- Post-secondary education in hospitality, event management, business administration, or a related field is considered an asset.
- Equivalent combination of education and relevant experience will be considered.
- Clean criminal record check
- Valid drivers licence
- Minimum two years of experience in hospitality, reception, events, or administrative coordination.
- Experience coordinating meetings or events, including room setup and vendor coordination.
- Experience working in a customer-facing environment with a focus on guest experience.
- Comfortable supporting meeting technology and troubleshooting basic AV issues.
- Proficiency with Microsoft 365 applications including Outlook, Teams, and Excel.
- Customer Service: Warm, professional, and welcoming approach to guest interactions.
- Organization: Strong attention to detail and ability to manage multiple bookings and events.
- Communication: Clear written and verbal communication with internal and external stakeholders.
- Problem-Solving: Proactive in resolving scheduling conflicts and operational challenges.
- Adaptability: Comfortable working in a fast-paced, public-facing environment.
- Relationship Building: Enjoys connecting people and creating an inclusive atmosphere.

- Monday - Friday.
- Flexibility required to support occasional after hours events (evenings and weekends).
- This opportunity does not include relocation. It will be the responsibility of the candidate should relocation be required.
