The Office Coordinator oversees the day-to-day operations of the office, supporting both internal teams and external visitors while ensuring administrative processes, communication, and facilities services run smoothly and efficiently.Here's how you'll contribute
Facilities & Vendor Services
- Oversee the administration of employee access and security passes through the access control system, ensuring accuracy and compliance.
- Act as the primary point of contact for workplace amenities, including locker assignments, touchless technology, parking cards, keys, and nameplates.
- Manage and triage internal requests related to IT and building services, including entering, tracking, and following up on service tickets with property management and internal partners.
- Serve as the on site point of contact for vendors performing work in the office, coordinating access, schedules, and requirements.
- Coordinate vendor onboarding and set up, including required documentation, purchase orders, and payment processing, in line with internal procedures.
- Support front-of-house operations, including incoming phone calls, guest reception, wayfinding, and delivery intake.
- Support incoming and outgoing mail, interoffice mail, and courier shipments; act as the primary point of contact for Spot Plus (Canada Post vendor).
- Oversee office supplies and end-to-end supply ordering, including inventory management and restocking of kitchen and common area supplies.
- Ensure meeting rooms and common office areas are properly set up, clean, and equipped with functioning technology and supplies.
- Manage the General Enquiries mailbox, including triaging messages, responding where appropriate, and ensuring timely follow up.
- Coordinate catering orders and support meeting set up and clean up to ensure a smooth experience.
- Support and oversee additional office and administrative initiatives as required, working closely with internal teams to ensure smooth and efficient delivery.
- Coordinate the ordering, distribution, and invoicing of posters and signage across Canada and the United States.
- Support the scheduling and posting of content across corporate social media channels.
- Provide coordination and execution support for in-office events, as required.
Education: High School diploma is required. Post-secondary diploma in business/office administration is an asset.Experience: Minimum 2-3 years' relevant office experience.Specialized Skills, Knowledge, and Abilities:
- Solid knowledge of Microsoft Office (Word, Excel, Outlook)
- Customer-focused with a positive attitude
- High degree of initiative and exceptional organizational skills
- Knowledge of social media practices
- Knowledge of French (spoken) is an asset
