- Create a positive first impression; greet visitors, clients and colleagues with professionalism and courtesy, ensuring all are welcomed and comfortable.
- Register all visitors, provide visitor badges and inform relevant staff members of their arrival. Ensure compliance with security protocols and visitor policies.
- Onsite resource for clients, visitors and colleagues; primary contact for general inquiries, basic information and Aon hospitality-based services.
- Assist the Meeting Coordinators and Support Coordinator with catering arrangements and meeting set up and clear up.
- Manage the scheduling of conference/meeting rooms and workspaces.
- Manage and screen incoming calls, forward messages and notify colleagues of guests, mail or other important items.
- Receive, sort, and distribute incoming mail, packages, and deliveries. Prepare and arrange outgoing correspondence and courier shipments.
- Maintain an organized and appealing reception area and lobby reflective of the company’s standards. Ensure boardrooms and kitchen areas are stocked and all rooms and workspaces are clean and properly outfitted.
- Trouble-shoot basic technology issues in boardrooms.
- High school diploma or equivalent.
- Successful completion of post-secondary courses or a certificate program in office administration, hospitality or another relevant business-related discipline.
- At least one year of experience working in a corporate or hospitality setting such as concierge, event coordination or front desk.
- Excellent written and verbal communication, organization and prioritization skills.
- Technology Proficiency – Microsoft Office Suite (Word / Excel / PowerPoint), multi-line phone systems and common business software (email, scheduling tools, etc.) together with basic trouble-shooting skills.
- Basic knowledge of safety and security procedures in a business setting.
- Customer Service Focus: Friendly, responsive and attentive to the needs of visitors, clients, and colleagues.
- Problem-Solving Abilities: Resourceful and able to handle unexpected issues in calm and positive manner.
- Discretion and Confidentiality: Handles sensitive information and interactions appropriately.
- Adaptability: Flexible in responding to changing priorities and varied demands in a fast-paced environment.
- Additional language skills would be an asset.
