- Responds to all requests for Vendor onboarding and evaluates vendor submissions to ensure they meet Pinchin’s requirements
- Enter vendor setups in the operating system (Vision) and ensure accuracy of details and keep detailed records in an organized manner
- Liaison with Accounts Payable during payment cycles
- Follow guidelines and know when to seek exception reviews from our risk team; correspond with executive level employees on a regular basis
- Track WSIB and WCB for all vendors with each province’s online database and update Vision for vendors out of compliance
- Analyze and verify consistency, completeness, and accuracy of vendor and insurance data
- Ensures all client requests are handled accurately and efficiently with acceptable turnaround times
- To be the point of contact and compile information to complete annual prequalification documentation for clients
- Interact with potential clients for information required to set client up in SharePoint (Client Grove) and Vision
- Review client provided information against Pinchin’s established client engagement criteria, for example retainer policies.
- Maintain the ‘Client Grove’ (SharePoint client database)
- Proactively identify opportunities to enhance, streamline and automate the client engagement process
- Liaison with Accounts Payable, Safety, IT, Security and other departments as needed to gather information needed to complete the client documents
- Responds to client requests in a professional and timely manner
- Understand RFP/Tender documents and prepare insurance certificates in accordance with the requirements requested for Pinchin clients. Liaison with our Insurance Broker for complex requests.
- Prepare WSIB and WCB Clearance Letters by request
- When required, Compliance Specialist will be responsible for assisting the Security Clearances Team with the maintenance of employee and organization security clearances and will provide efficient support to ensure compliance with Company, Government and Client security requirements.
- Good understanding of Insurance and risk mitigation and/or strong problem-solving skills with the ability to learn and understand insurance
- Demonstrates good judgement and critical thinking when investigating and solving problems
- Works independently with acceptable supervision
- Excellent interpersonal skills
- Post-secondary education with a minimum 5 years’ experience in administration is preferred.
- Working knowledge with the Office suite of products is required
- Require the ability to obtain PWGSC Secret (Level II) Security Clearance. To be eligible, must NOT have a Criminal Record and must have resided in Canada for the last 5 years (at minimum), with no stays in foreign countries exceeding 6 months during those 5 years.
- Required: Ability to complete and maintain certification in the PSPC Controlled Goods Designated Official Certification Program
