Legal Assistant – Banking and Financial Services
Montréal, Hybrid (3 days/week)Support legal professionals in a fast-paced financial services environment through high-level administrative and coordination tasks. Hybrid Montréal role offering competitive salary, flexible schedule, strong benefits, and a collaborative workplace requiring bilingual communication skills.What is in it for you:

  • Full-time permanent position, 35 hours/week.
  • Hybrid work model: 3 days per week in the Montréal office.
  • Flexible schedule: 8:30 am to 4:30 pm or 9:00 am to 5:00 pm, Monday to Friday

Responsibilities:
  • Proofread and format documents (letters, memos, file notes, opinions, procedures, etc.).
  • Transcribe documents from handwritten notes and/or voicemail messages.
  • Compare documents using Litera Compare.
  • Update client lists.
  • Photocopy and coordinate printing and scanning requests.
  • Communicate directly with other legal professionals in the absence of assigned lawyers.
  • Prepare materials when the legal professional is presenting (PowerPoint).
  • Open new files.
  • Follow up on internal and external calls as required.
  • Initiate conference calls.
  • Manage the legal professional’s calendar.
  • Manage emails.
  • Research, enter, and update data in OnePlace.
  • Book travel, transportation, hotels, and restaurants.
  • Reserve conference rooms for meetings, videoconferences, and client meetings.
  • Order meals, beverages, and other items.
  • Prepare conflict search requests and forward them to the appropriate parties.
  • Perform daily follow-ups on time entries and enter or revise them in the system.
  • Review and validate time entries on a weekly and monthly basis.
  • Prepare monthly billing.
  • Prepare expense reports, obtain approvals when required, and follow up.
  • Prepare requests for cheques or bank transfers from trust accounts.
  • Assist other legal professionals and administrative assistants within the department (or other departments) as needed.
  • Assist students and interns as required.
  • Administer oaths to lawyers and clients.
What you will need to succeed:
  • Diploma in legal secretarial studies or equivalent.
  • 5 years of experience in private practice supporting legal professionals, ideally including a partner.
  • Bilingual in English and French to support clients in both languages.
  • Strong communication skills, both verbal and written.
  • Excellent organizational skills and ability to manage multiple priorities simultaneously.
  • Ability to take initiative and work independently with minimal supervision.
  • Solid knowledge of legal procedures and practices.
  • Proficiency in office tools and software.
  • Strong team spirit and ability to collaborate effectively.
  • High attention to detail and strong professional rigor.
