
Supervisor, Rentals Desk (Film & TV)

- Supervise the day-to-day activities of the team and ensure they have the information, tools and resources needed to perform their jobs efficiently and effectively
- Coordinate and oversee production assignments; Workday approvals, authorization of overtime; coordination of vacations and other leaves; and support of other operations
- Coach, train, and mentor staff to promote personal growth and learning within the department.
- Resolve any conflicts, complaints, or feedback from staff, escalating to a manager, as necessary.
- Ensure the Rentals Desk team adheres to operational procedures
- Identify and report further opportunities for operational excellence
- Assign customer bookings to Rentals Desk Staff
- Assist with general software and process training for department staff
- Oversee and assist with check-ins and check-outs of equipment packages in inventory control software by other department staff
- Track customer bookings and ensure that customers adhere to the schedule
- Receive and appropriately distribute order documents from the CSR department to warehouse floor staff
- Update order management database to reflect current state of orders to ship
- Ensure accurate amendment of orders that are shipping
- Work with customers and floor staff to produce accurate return lists
- Diligently apply manual return transaction records to the correct orders in inventory control software
- Generate, distribute, and collect appropriate documents for digital signature
- Work with the Inventory team to correct inventory discrepancies as they arise
- Oversee and assist with digital uploading of manual paperwork
- Track and manage archival of physical paperwork (including offsite storage)
- Assist in additional Client Service duties where possible, including expendables
- Comply with all WorkSafe requirements
- Reduce costs whenever and wherever possible
- Maintain confidential and sensitive information
- Perform other duties as required
- Exceptional customer service skills
- Knowledge of lighting and grip equipment
- Minimum 2 years related industry experience, preferred
- Experience leading a team, preferred
- Excellent communication skills
- Proficient in Microsoft Office
- Experienced with inventory control systems, knowledge of RTPro considered an asset
- Experience with project management platforms Trello and Skedda considered an asset
- Demonstrated ability to work well autonomously and in a team environment
- Strong organizational and time management skills with careful attention to detail
- Able to multi-task and focus in a fast-paced environment
- Ability and willingness to delegate tasks, take initiative and lead
- Willing to work after-hours, as necessary
