- Provide day‑to‑day administrative support to multi-disciplinary teams
- Manage calendars, appointments, meetings, and room scheduling for providers and leadership
- Prepare, edit, and distribute reports, correspondence, and documentation related to patient care and operations
- Effectively manage multiple priorities, deadlines, and interruptions common in healthcare environments
- Anticipate operational needs and adjust schedules and tasks based on changing daily demands
- Track action items, follow‑ups, and deliverables to ensure timely completion
- Navigate and maintain records with in-house software
- Generate reports and extract data from clinical or administrative systems as required
- Utilize Microsoft Office and collaboration platforms to support documentation, data tracking, and communication
- Assist with system updates, template maintenance, and process documentation
- Handle patient and employee information in compliance with organizational policies
- Maintain accurate records and documentation to support audits and regulatory requirements
- Support quality improvement initiatives and process standardization
- Ensure professionalism and discretion in all interactions
- Coordinate logistics for meetings, training sessions, and departmental initiatives
- Monitor supplies, service requests, and vendor communications as assigned
- Support special projects and events related to patient experience, workflow improvement, or operational efficiency

- 2+ years of experience in an administrative or office support role, preferably in healthcare
- Knowledge of healthcare compliance standards and documentation practices an asset
- Demonstrated ability to manage multiple priorities in a high‑volume, regulated environment
- Strong technical skills with:
- Teams
- Microsoft Outlook, Word, Excel, and Excel‑based tracking
- Excellent organizational, time‑management, and attention‑to‑detail skills
- Strong written and verbal communication skills
- Understanding of patient confidentiality and privacy requirements
