Closing Date: April 30, 2026We are currently looking for an experienced Office Administrator to join the UHN Medical Solutions team. The Office Administrator is responsible for ensuring that the day-to-day operations run smoothly for both patients and staff. The Office Administrator works closely with Patient Ambassadors and Clinical Coordinators and exercises judgment and independence in the performance of administrative activities.The principal responsibilities include:
- Maintaining electronic calendar and tracker for clinical activity
- Performing clerical functions to support clinical coordinators and patient ambassadors
- Financial reporting on collected fees and provide support for accounts receivables
- Ensuring efficient operation of the office, within the scope of authority, including front end management of referrals and hand-off to appropriate team members
- Modifying and maintaining electronic and paper information filing/retrieval methods, systems and/or formats
- Providing functional supervision to junior clerical staff
- Performing cross-functional responsibilities and other duties consistent with the job classification, as required
- Completion of a recognized post-secondary office administration program at the diploma level or equivalent
- Three (3) years or more of related experience required
- Previous on-the-job word processing and spreadsheet experience required; experience working in a Microsoft Office software environment an asset
- Knowledge of private pay insurance and reimbursement processes required
- Previous supervisory experience preferred
- Experience working in a health care environment an asset
- Demonstrates cultural sensitivity and the ability to work effectively with individuals from diverse backgrounds
- Skilled at navigating sensitive financial discussions with professionalism and discretion
- Very good organizational and time management skills required
- Very good interpersonal and customer service skills required
- Very good verbal and written communications skills required
- Good knowledge of health care, organizational/office practices, procedures and standards required
- Ability to produce high quality work in accordance with department standards required
- Ability to maintain confidentiality required
- Ability to work well under pressure and use good judgment in assessing difficult situations required
- Knowledge of medical terminology an asset
