Brief Description:Our employer conducts hotel and venue searches, creating proposals that align to meeting’s unique requirements. They plan site inspection itineraries connecting clients with hotel and destination professionals. They are seeking a highly organized, proactive, and detail-oriented Executive Assistant to support our CEO during a maternity leave contract. This is a dynamic, fast-paced role that sits at the center of communication between leadership, clients, and internal teams. You will play a key role in keeping the CEO organized, informed, and focused, while also supporting internal coordination and client-facing processes. This role is ideal for someone who thrives on variety, takes initiative, and enjoys keeping people, priorities, and projects running smoothly. This role is critical to ensuring our CEO and leadership team can operate at a high level. You’ll be a central connector across the organization, helping maintain strong communication, seamless operations, and a high level of service for their clients. This is a 13-month maternity leave coverage contract.Job Function:Executive Support
- Manage and maintain the CEO's calendar, including scheduling, rescheduling, and resolving conflicts
- Monitor and manage the CEO's inbox (prioritizing, flagging, and responding where appropriate)
- Coordinate internal and external meetings, including booking venues/restaurants as needed
- Arrange travel (flights, hotels, transportation)
- Manage voicemail and relay messages
- Prepare meeting agendas, briefing notes, and materials
- Track follow-ups and action items
- Support weekly pipeline calls and bi-weekly team meetings (agenda creation, note-taking, follow-ups)
- Track team updates, goals, and key action items
- Distribute meeting summaries and maintain documentation
- Assist with internal communications and updates
- Maintain organized files and documentation within company systems
- Maintain accurate records in Salesforce and Cvent
- Assist with RFP creation, client summaries, and proposal materials
- Coordinate meetings between clients and the CEO
- Communicate with hotels and partners to gather and confirm information
- Track opportunities and update deal stages
- Support site visit coordination (travel, logistics, scheduling)
- Assist with follow-ups and client communications
- Assist with planning client and partner events (invitations, tracking, logistics)
- Maintain partnership records and contracts
- Track follow-ups and identify referral opportunities
- Scheduling personal appointments
- Coordinating travel logistics
- Light administrative support related to household or personal matters
Job Requirement:
- 2-3+ years of experience in an Executive Assistant role, high-level support
- Strong organizational skills and attention to detail
- Excellent written and verbal communication
- Ability to manage multiple priorities in a fast-paced environment
- High level of professionalism and discretion
- Proactive, resourceful, and solution-oriented mindset
- Comfortable working with tools such as: Microsoft Outlook & Teams, Salesforce (preferred), and Cvent (nice-to-have)
