As an Equipment Rental Coordinator you will be responsible for overseeing all aspects of equipment rental operations from handling requests, coordinating timely deliveries, and ensuring accurate billing. This role involves maintaining rental inventory, updating software systems, addressing client inquiries, and actively participating in business development initiatives. The Equipment Rental Coordinator will also provide necessary support for Fleet related tasks and projects.What you will be responsible for:Rental Request Management:
  • Receive and process rental inquiries and requests from clients via email, telephone, or in person
  • Ensure accurate documentation and record-keeping of rental orders
Account Setup & Proposals:
  • Assist in the proposal and quoting process for new clients
  • Collaborate with the sales and management teams to prepare competitive proposals
  • Coordinate with the Accounts Receivable department to establish new client accounts
Account Management:
  • Act as the primary point of contact for client inquiries and questions
  • Provide detailed information on equipment options, pricing, and availability
  • Maintain strong relationships with existing rental clients
  • Routinely follow up with clients to ensure expectations are exceeded and if there are additional opportunities they can be supported on.
  • Identify opportunities to upsell additional equipment or services to clients
  • Collaborate with the sales team to maximize revenue opportunities
Inventory Maintenance:
  • Collaborate with the Fleet Department to schedule and coordinate equipment deliveries
  • Ensure timely and efficient delivery to meet client deadlines
  • Regularly monitor and track equipment inventory levels
  • Coordinate with the procurement team to restock and replenish inventory as needed
Data Entry and Administration:
  • Utilize software to track and update rental orders and equipment availability
  • Ensure accurate data entry and maintenance of records
  • Ensure all necessary documentation is complete for account setup

What we need from you:
  • High school diploma or equivalent; bachelor's degree preferred
  • Proven experience in administration
  • Proficiency in using Microsoft Office and G-Suite platforms
  • 2-3 years of experience in account management, project coordination, or similar field is highly desired
  • Excellent communication and customer service skills is a must
  • Strong organizational abilities and attention to detail
  • Ability to work collaboratively with cross-functional teams
