We’re looking for a full in-office Executive Assistant for our client, Edmonton Airports (EA) , is a not-for-profit organization operating one of Canada’s busiest and most innovative airports.Edmonton Airports is a forward-thinking organization with a strong focus on connectivity, economic growth, and community impact. Known for its collaborative culture and commitment to excellence, EA offers an engaging environment where work is fast-paced and meaningful. The Executive Assistant will provide comprehensive support to a busy Vice President, playing a key role in the smooth operation of the executive office.This role requires a highly experienced, proactive, and resourceful professional who can anticipate needs, manage competing priorities, and handle sensitive matters with discretion and confidentiality.About Edmonton International Airport (YEG):

Executive Assistant responsibilities:
  • Calendar Management: Coordinate and manage the VP's complex and dynamic schedule, including scheduling meetings, conference calls, and appointments. Anticipate conflicts and proactively resolve scheduling issues to ensure optimal time management
  • Travel Arrangements: Arrange domestic and international travel logistics for the VP, including flights, accommodations and transportation. Provide detailed itineraries and ensure all travel arrangements align with the VP's preferences and priorities.
  • Communication Liaison: Serve as the primary point of contact for internal and external stakeholders seeking access to the VP. Screen and prioritize incoming communications, including emails, phone calls, and meeting requests. Draft and edit correspondence on behalf of the VP as needed.
  • Meeting Coordination: Prepare agendas, documents, and presentations for meetings attended by the VP. Ensure meeting materials are distributed in advance and follow up on action items and decisions. Attend meetings as requested to document minutes and track action items.
  • Strategic Support: Assist the VP in executing strategic initiatives and special projects, conducting research, compiling data, and preparing reports and presentations. Provide analytical support and contribute to decision-making processes as required.
  • Confidentiality and Discretion: Handle sensitive information and maintain the highest level of confidentiality and discretion at all times. Uphold ethical standards and demonstrate integrity in handling confidential matters.
  • Relationship Management: Cultivate positive relationships with key stakeholders, including executives, clients, and partners. Represent the VP professionally and effectively in interactions with internal and external contacts. Also to build a strong working relationships with a team of Executive Assistants to deliver consistent, high-quality support to the executive team and organization.
The successful candidate has:
  • A minimum of 5 years of executive assistant experience supporting C-level executives is a must
  • Excellent proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with technology, able to assist others.
  • Strong business acumen, polish, organizational and time-management skills with the ability to prioritize tasks and meet deadlines.
  • Work as a key partner alongside other executives, and team members to support business objectives and foster a collaborative team focused environment.
  • Exceptional communication skills, both written and verbal, with a high level of professionalism
  • Ability to exercise sound judgment and make decisions independently.
  • Discretion and confidentiality in handling sensitive information
  • Flexibility and adaptability to changing priorities and demands.
  • Ability to work fully onsite at the South Edmonton office is required. (not hybrid)
  • Able to complete a successful background check for security purposes
