- Working Hours: MondayâFriday, 8:00 amâ4:00 pm (35 paid hours/week for 40 weeks)
- Benefits: Full benefits and pension according to the collective agreement.
- Salary: Starting at $31.22/hour, progressing to $38.00/hour after 4 years.
- Holidays & Vacation: Paid statutory holidays; three weeksâ vacation (6% vacation pay) increasing to four weeks (8% vacation pay) from the 5th year.
- School Holidays: All school breaks off (Winter, March, Summer, except the last week of August).
- Provide administrative support to senior leadership, including scheduling and correspondence.
- Manage front desk operations, including answering calls, greeting visitors, and directing inquiries.
- Perform general clerical duties such as photocopying, mail handling, and email correspondence.
- Assist with light bookkeeping tasks.
- Compose, format, and edit letters, memos, reports, and newsletters.
- Maintain a database of members and manage associated files.
- Organize and maintain a catalogue of resources as required.
- Plan and coordinate meetings, prepare notices, agendas, and packages, including light catering.
- Record and format minutes of meetings for final review.
- Complete occasional out-of-office errands.
- Assist in planning and coordinating special events.
- Support membership applications and prepare introductory packages.
- Maintain and order office supplies and equipment as needed.
- Uphold confidentiality and maintain the highest level of integrity regarding members and organizational information.
- Minimum of 3 yearsâ experience in an administrative office role.
- Strong written and verbal communication skills.
- Ability to multitask, prioritize, and manage a varied workload with attention to detail.
- Proficient in Microsoft Word, Excel, Outlook, Adobe, Canva, WordPress, and Google Forms.
- Familiarity with Mac computers and programs; experience or willingness to learn Quicken for cheque generation.
- Ability to perform a variety of clerical and non-clerical duties under supervision, including office reception, filing, mailouts, meeting preparation, and support services to leadership.
- Strong discretion, diplomacy, and tact.
- Experience with building and editing websites.
- Willingness to become a member of the organizationâs union and abide by the terms of the collective agreement.
