EXECUTIVE ADMINISTRATORActivity sector: Pulp and PaperSite: KamloopsWage: $60,000 – 80,000Schedule: Monday to Friday 7am to 3pmYOUR ROLEReporting to the Mill Manager, the Executive Administrator plays a vital and dynamic role supporting the general manager, leadership team and the Mill as a whole. This role provides confidential administrative support while serving as a liaison between various stakeholders.Duties include facilitating effective communication, managing complex calendars, coordinating travel and expenses and handling diverse administrative duties. This role leads the planning and execution of various social and business events for the Mill .YOUR RESPONSIBILITIESü Proactively manage the General Manager’s calendar, resolving schedule conflicts while ensuring readiness for meetingsü Plan meetings as requested by coordinating schedules of selected participants, reserving adequate meeting space, preparing agendas and ensuring participants are equipped for meetingsü Prepare and review professional correspondence, reports and presentations that effectively communicate key messages to diverse audiencesü Design, author and coordinate a monthly newsletter for mill wide distributionü Maintain and prepare spreadsheets, statistical summaries and dashboards consistently or by requestü Coordinate travel arrangement and manage expense reporting with precision and timelinessü Lead the planning and execution of Mill events including, but not limited to, mill celebrations, community outreach, and mill visits [*may require support outside of regular hours]ü Oversee Mill donations and sponsorships and champion fundraising initiativesü Coordinate retirement and service anniversary celebrationsü Answer and direct phone calls, prioritizing messages and conveying critical information efficientlyü Coordinate orders for office supplies and other identified business needsü Collaborate across departments and with the corporate office to execute projects, streamline communication and ensure timely delivery of initiativesü Oversee document management processes including digital filing, record retention and arching to ensure compliance and easy retrievalü Support the maintenance of SharePoint sites ensuring content is current, organized and accessibleYOUR SKILLS AND ABILITIESü Self-directed and capable of working independently with minimal supervisionü Exceptional time management and multitasking skills. Adept at handling multiple projects with competing priorities and deadlinesü Confident communicator skilled in active listening, clear writing and presentingü Commitment to confidentiality and strong problem solving & analytical abilities combined with excellent judgment and discretionü Detail oriented with a keen eye for accuracyü Proactive and resourceful, taking initiative to advance ongoing projects and identify opportunities for improvementü Team-oriented with a friendly, positive demeanor and a professional approach that enhances workplace culture.ü Creative thinker with a strong eye for design, capable of producing visually appealing content and presentations.
