- Manage the billing process to ensure all invoices are paid on time.
- Ensure the complete and rigorous processing of payroll, including the validations, adjustments and follow-ups required to guarantee accuracy and adherence to deadlines.
- Coordinate and support programs related to safety and the environment.
- Act as a resource person for employees by answering their questions relating to payroll, benefits, internal policies and working conditions.
- Perform administrative follow-ups with corporate teams (payroll, benefits, human resources) for any situation requiring coordination or specific resolution.
- Actively participate in the recruitment process: posting job openings, pre-screening candidates, coordinating and conducting interviews, making hiring recommendations, and preparing required documents.
- Manage the hiring and administrative integration processes for new employees, including updating statuses (full-time/part-time) in HR systems.
- Allocate positions in accordance with applicable collective agreements and seniority rules.
- Prepare and transmit monthly union lists and seniority lists, ensuring their accuracy and compliance.
- Ensure the administrative follow-up of absences and leaves (illness, CNESST, personal leave, LOA), including documentation, communications and coordination with internal and external stakeholders.
- Managing the billing cycle: entering invoices into the system, validation, and payment tracking.
- Follow up with suppliers in case of non-payment and maintain good business relationships.
- Ensure the management and monitoring of contractual services (e.g., uniforms with Cintas or other suppliers).
- Contribute to the planning and coordination of internal events (recognition events, team meetings, corporate activities).
- Ensure the supply of administrative supplies (stationery, coffee, etc.) in order to ensure the smooth daily operation of activities.
- Participate in special projects aimed at optimizing administrative and operational processes.
- Contribute to improving internal practices in communication, employee engagement and organizational effectiveness.
- Support regulatory and union compliance initiatives.
- Collaborating with cross-functional teams during the implementation of new corporate systems, procedures, or programs.
- Perform any other related tasks that contribute to the smooth running of operations and the team.
- Awareness Advanced MS Office (Outlook, Word, Excel, PowerPoint)
- Knowledge of SAP, Workday and Kronos is an asset
