- Day to day mentoring / coaching, scheduling and supervision of staff
- Timely verification and approval of time cards
- Assist in any audit or reconciliation of timesheets
- Approval of vacation and other time off
- Ensure appropriate staffing levels to meet the needs of the agency
- Participate in interviewing and orientation process of support staff when applicable
- Assisting with both the process and execution of tasks, projects and overall work of the team
- Work in collaboration with Residential Program Managers to ensure the facilities needs are met by the team.
- Ensure and maintain strict confidentiality of client information
- Complete annual performance evaluations in accordance with agency policy and process
- Promote and exemplify team work, relationships and collaboration internally and with community partners
- Create and maintain systems for efficient and values driven work in managing facilities and managing t team members
- Encourage participation in, and sharing of, professional development and continuous learning opportunities
- Promote awareness of Vicarious Trauma
- Practice and support self-care Ensure all support staff are utilizing/wearing proper PPE and safety shoes
- Ensure the operation of all equipment is done properly utilizing the appropriate safety measures/equipment
- Participate on Joint Occupational Health and Safety Committee (JOHSC) as a certified member
- When/if required Chair the JOHSC as the Management Representative
- Work closely with the JOHSC Management or Employer Rep. to ensure that scheduled fire drills and inspections are conducted at the facilities in accordance with agency policy and procedure
- Work with the JOHSC to ensure that all facility related issues identified during safety inspections are addressed in a timely manner.
- Utilize all proper PPE, safety equipment and clothing
- Work with the Finance Department to develop and manage property/facilities budgets.
- Oversee contracts for service providers including: security, capital projects, external service providers.
- Assist with reporting to funders as required.
- Oversee building projects, renovations and refurbishments including the drafting of reports and making written recommendations.
- In collaboration with the Finance Manager maintain and inventory capital assets
- Update the Capital Assets Replacement Reserve Inventory Systems
- Manage capital purchasing, including ordering, scheduling, and appropriate paperwork.
- Ensure the physical security of Anova sites is maintained including but not limited to points of access/egress, security cameras, intercoms and locks,
- Liaise with service providers when changes/repairs or improvements are required.
- Identify, research and cost areas of improvement or repair
- Acts as the primary contact for SSH residents regarding property management, service agreements, and landlord responsibilities; consults with legal, prepares for and attends Landlord and Tenant Board proceedings as required.
- Chair the Anova Space Committee
- Participate on other agency committees
- Represent the agency at community meetings and events
- Assist in the management of issues outside of the support team
- Model Respect at Work principles and skills while carrying out daily activities as well as helping others practice them internally and with the individuals they serve
- Attend regular leadership team meetings, business meetings, staff meetings and training sessions
- Participate in evaluation/research as required
- Other duties as assigned
- Post-secondary education in Business Administration or a related field; leadership certification an asset.
- Minimum one year of management experience; unionized or multi-site experience an asset.
- Knowledge of the Residential Tenancies Act (RTA), health and safety standards, and building/property codes.
- Experience managing landlord-tenant relationships in residential or supportive housing settings.
- Understanding of trauma- and violence-informed practices, harm reduction, and eviction prevention.
- Strong communication, relationship-building, and conflict resolution skills.
- Proficient in Microsoft Office and general administrative tools.
- Strong organizational, documentation, and problem-solving abilities.
- Valid G driver's license; WHMIS and Standard First Aid with CPR/AED.
- Ability to work across all Anova sites.
