- Greet visitors and direct them to the appropriate person or meeting room.
- Assist colleagues with office supply needs or other requests related to the project office.
- Provide general information to visitors and the project team.
- Manage and update bookings for the various conference rooms in the office and ensure they are kept in order.
- Receive and distribute mail and packages (internal and external).
- Assist with certain administrative tasks:
- Electronic filing in accordance with organizational procedures
- Formatting various documents and proofreading in French
- Relaying notices to the project team
- Occasional support to the project's administrative assistants
- Support in planning activities and events
- Monitor inventory and place necessary orders: office supplies, coffee, catering, etc.
- Responsible for daily operations, restocking, and service calls for:
- Soap and paper towels (kitchen)
- Water filter
- Printer/photocopier/scanner
- Other related tasks as needed.
- High school diploma (DES) or vocational diploma (DEP) in secretarial work or office administration.
- 1 to 2 years of experience in a similar position.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams, PowerPoint).
- Strong sense of confidentiality and discretion.
