- Provides dedicated support to TRU's Research Centres and Institutes. Schedules tasks, deadlines and milestones for all project stakeholders. Administers and monitors resources related to assigned projects on a day-to-day basis, including tracking project budgets in collaboration with the Budget Officer, monitors and reports on the progress of projects of the Research Centres and Institutes.
- Under the guidance of the Research Centre or Institute lead(s), monitors budgets included in financial management meetings on budget forecasting, prepares documentation for financial reports for internal and external purposes, and administers incoming grant requests.
- Schedules appointments and arranges meetings; locates and assembles background material for meetings; arranges physical facilities, equipment and catering for meetings of the TRU's Research Centres and Institutes.
- Prepares and circulates agendas and agenda packages for meetings that may include sensitive material; takes minutes, distributes to relevant parties and provides other logistical support for Senate Standing Committees.
- Responsible for ensuring and coordinating print and online internal and external communications authored by or representing the Research Centres and Institutes, including within the TRU community and with local, provincial, national and international audiences.
- Sets up and maintains a variety of records and files that may include confidential and/or sensitive material such as contract/grant issues and the Research Ethics Board.
- Assists in the organization of research conferences, events and special functions. This includes travel arrangements and reservations, booking facilities and equipment, collecting fees, and coordinating guest lists.
- Acts as liaison between project participants, grant holders, internal contacts, external agencies, clients and/or contractors.
- When appropriate, receives, stamps, sorts and distributes mail; maintains office supplies inventory for Research Centres and Institutes.
- Coordinates and oversees maintenance of, access to, and occasional renovation work on campus research spaces.
- Takes on special projects under the direction of the Director, Research Initiatives which may include research projects, production of statistics, spreadsheets, charts, and environmental scans.

- Undergraduate Degree, or associate degree in office/business administration (or equivalent)
- Five years related experience as either a senior administrative assistant or as an administrative assistant in an academic research environment
- Demonstrated experience of project and financial management
- Knowledge of an academic research environment
- Demonstrated ability to communicate effectively both verbally and in writing to a variety of audiences, including students, faculty members, community partners, funders and government departments or agencies
- Advanced computer knowledge with a high level of understanding with Microsoft Word, Excel, and PowerPoint, SharePoint, Co-Pilot and web page management systems
- Ability to deal with staff, faculty, students, colleagues and external vendors with courtesy, discretion and tact; ability to deal with difficult situations appropriately
- Ability to exercise considerable independent action, based on good judgment
- Ability to project manage and coordinate committees
- Ability to plan, organize and prioritize work while managing multiple, diverse and competing priorities to meet deadlines
- Ability to maintain attention to detail in a research environment
- Ability to operate related equipment such as photocopiers, and multi-media equipment
