To learn more about us, please visit: .The Ministerial Correspondence Unit (MCU) supports Technology and Innovation's by managing correspondence within the department, including briefing notes, letters, and memos. The mandate of the MCU is to ensure that all documents, regardless of the intended audience (public or senior officials), are accurate, contain consistent messaging, and are of a professional quality. The unit reviews and edits completed action requests, prepares standard responses in consultation with program areas, and manages timelines for the department.Role ResponsibilitiesThe Ministry Correspondence Unit is looking for an ARTS Administrator. This position reports directly to the Ministerial Correspondence Unit (MCU) Manager.The responsibilities of this role include:
  • Managing and tracking AR (Action Request) processes, ensuring timely assignment, follow-up, and completion while maintaining accurate records in ARTS.
  • Serving as a liaison with the Minister's Office, providing updates on AR statuses, seeking clarifications, and addressing extension or cancellation requests.
  • Maintaining confidentiality and compliance with the Access to Information Act (ATIA) and the Protection of Privacy Act (POPA), security, and records management policies for AR files, while ensuring correspondence packages are handled efficiently.
  • Identifying and addressing process or system issues, propose improvements, and adhere to government-wide ARTS best practices and policies.
  • Generating and distributing daily AR tracking reports, alerting relevant staff to overdue items and escalating concerns to the Manager or Writer/Editor as needed.
  • Providing administrative support to the Manager and MCU, including printing AR packages for the MO, managing ARTS user access, and handling supply/building requests.

QualificationsRequirements:
  • High school diploma and three (3) years of related experience.
  • Experience with MS-Office Suite products (such as Word and Excel) and the ability to learn and manage new applications and software.
Equivalencies:Directly related education or experience considered based on:
  • 1 year of education for 1 year of experience; or
  • 1 year of experience for 1 year of education.
Assets:
  • Previous experience with ARTS (Action Request Tracking System) is preferable.
  • Experience working collaboratively with Minister Offices and admins from other areas.
  • Previous experience with formatting and editing ministerial documents such as briefings, memos and letters.
  • Experience with AI tools, such as co-pilot to complete daily tasks.
