- Lead the Document Control function within the Sustainment PMO in collaboration with other disciplines within Babcock's Project Management department.
- Manage and mentor the Sustainment PMO Technical Writer as your direct report.
- Execute work, provide direction, and act as an escalation path for issues on the day-to-day activities of the Document Control function.
- Responsibilities include:
- Manage and use the shared email mailbox
- Progress service request tickets from internal stakeholders in the Document Control Tracker within the project database
- Technical editing of documents (proposals, change requests, and deliverables) intended for external customers
- Facilitate the internal approval routing of documents for external release
- Prepare and submit contractual documentation to customers via email and document sharing platforms
- Track the status of all items in the custody of Document Control and communicate to stakeholders throughout the process
- Maintain the Correspondence Log and applicable record keeping and documentation filing
- Manage the Document Release Process and Project Change Control Process and ensure that they are correctly followed with regards to the editing, approval routing of contractual submissions to our customers
- Delegate tasks to team members as appropriate
- Update and improve Document Control related procedures, templates, and forms, as necessary.
- Create new document control systems, templates logs, and conventions as required.
- As one of the SharePoint site administrators in the team, support the creation, maintenance, and access to department owned SharePoint sites.
- Provide subject matter expertise and training to colleagues as required on topics of MS Word, Excel, and PowerPoint.
- Collaborate with the Sustainment PMO Manager to establish strategies, new processes, and modify existing tools to satisfy the support requirements for the departments expanding portfolio of contracts / projects.
- Act as a delegate for the Sustainment PMO Manager, as required, and provide backup support during leaves of absence.
- A bachelor's degree, college diploma or certificate in administration, technical writing, language, project management or related field
- A minimum 4 years of related work experience
- Advanced proficiency of the English language (reading, writing, editing, and grammar)
- The ability to inform new or revise existing procedures and policies and understand and adhere to those in place.
- The ability to work with precision and accuracy, demonstrates attention-to-detail and has excellent record keeping skills.
- The ability to identify and implement innovative administrative solutions to increase efficiencies.
- Excellent verbal and written communication skills
- The ability to function in a self-directed manner in a team environment, including personal workload management (organizing and prioritizing) with a focus on meeting deadlines in a high-paced environment.
- Strong interpersonal skills for collaboration with the customer, subject matter experts, colleagues, and end-users
- Ability solve a range of straightforward problems based on analysis of possible solutions using experience, judgement, and precedents.
- Strong decision-making skills, sound judgement and, ability to influence.
- Intermediate to advanced user skills with Microsoft Outlook, Word, Excel, PowerPoint, Visio, Adobe Acrobat Pro and experience with the use and management of SharePoint and/or other document management systems.
