- Draft, review and distribute contractually sensitive information including: letters, notices, meeting minutes.
- Administer and maintain department records and files. Duties include administering the electronic and hard copy filing of vendor information including but not limited to correspondence, Vendor Furnished Information, bid documents, Non-disclosure agreements, Purchase Orders and Subcontracts.
- Provide administrative assistance to the SCM New Construction team with the following tasks:
- Coordinating the internal authorization process for subcontracts and high dollar value purchase orders in accordance with company policy;
- Undertaking the data entry of all electronic invoice approval (TAP) administration in JD Edwards E1;
- Work with suppliers and Accounts Payable (AP) to resolve invoice disputes or payment delays;
- Tracking and expediting the receipt of internal and external deliverables including internal review of documents and external submissions of information, proposals and quotations;
- Preparing and issuing official correspondence and communications with internal and external clients via email or telephone;
- Coordinate with suppliers on Requests for Quotes, Promised Delivery Dates, and outstanding documentation such as technical data sheets, shipping paperwork, or certifications;
- Track and resolve part related issues such as incorrect deliveries, defective items, or rework requirements in collaboration with the warehouse and SCM team;
- Coordinate meetings, record meeting minutes/actions, distribute
- Provide timely and accurate response to all general inquiries that are received from prospective suppliers.
- Issue and process Purchase Orders based on released requisitions, ensuring accuracy of pricing, specifications, contract terms, and confirming supplier acceptance and delivery timelines.
- Compile and maintain reports such as open PO logs, supplier KPI metrics, and inventory reports for supply chain performance tracking.
- Completion of High School diploma supplemented by post secondary courses, preferably from an industry recognized purchasing institution such as Association for Supply Chain Management (ASCM), Chartered Institute of Procurement & Supply (CIPS), Logistics Institute or Purchasing Management Association of Canada.
- 1-2 years of work experience in a purchasing organization; preferably in a manufacturing or construction environment.
- Experience using electronic records management systems such as SharePoint or equivalent.
- Understanding of competitive buying practices.
- Good oral and written communication skills.
- Strong customer service and diplomacy skills.
- Excellent organizational and time management skills to manage competing priorities.
- Ability and willingness to take direction from multiple managers.
- Intermediate computer skills, including proficiency in Microsoft Office suite (Word, PowerPoint, Outlook); advanced Excel an asset.
- Exercise sound business judgment and decision making skills in a manner consistent with the essential job functions.
