- Create and manage document repository for all operational, commercial and compliance documentation for the company.
- Support the Marine Superintendent (MSI) with monitoring, trending and tracking incident data and key performance indicators (KPIs) to assist with internal and external reporting.
- Support the Technical Superintendent (TSI) with tracking of technical fault reports, root cause analysis reports and ongoing technical matters, ensuring cases are well documented and accessible fleet wide for knowledge sharing and continuous improvement.
- Act as the primary liaison between the company's IT department and vessel crews to ensure timely resolution of IT-related issues and uninterrupted progress on vessel IT initiatives.
- Direct management of all operational platforms used by the company for daily operations, including but not limited to Fuel Boss, Hoglund Connect, OCIMF, Q88, and RightShip, ensuring accurate data entry, system integrity, and user support.
- Support company operators with procurement needs.
- Support with new process development and continuous improvement exercises by leveraging software tools.
- Create and manage company document templates.
- Technical writing of documents including SOPs, checklists, training material, etc.
- Support with internal drafting efforts.
- Completion of Grade 12 education, plus post-secondary courses relevant to the area of administration.
- 5+ years of relevant work experience (marine industry preferred), or an equivalent combination of education and experience.
- Experience in technical writing, and reading engineering documents is an asset.
- Experience with AutoCad is an asset.
- Training in logistics or transportation management is an asset.
- Strong attention to detail and excellent organizational skills.
- Demonstrate adept proficiency with the Microsoft suite of software including Visio.
- Proficient in the use of AutoCad for technical drafting.
- Excellent communication skills, both written and verbal.
- Background in the marine industry is an asset.
- Passionate and takes pride in one's profession. Demonstrated abilities to mentor, train and transfer knowledge to other staff members.
