- Coordinate and schedule meetings with clients and project teams (book boardrooms, arrange refreshments, prepare required materials).
- Provide daily administrative support to the Construction and Property/Project Managers on tenders, bid analysis, and subcontract agreements.
- Assist the Contract Accountant with contract preparation, invoicing, and related documentation.
- Manage contract execution, subcontractor submissions, and digital archiving in SharePoint, Fieldwire, and other platforms.
- Communicate with contractors, distribute Master Terms, and follow up on required documents.
- Collect and track contractor safety paperwork (Certificates of Insurance, WSIB, Health & Safety policies, etc.).
- Deliver professional front-line customer service while ensuring smooth day-to-day office operations
- 5-7 years of general office administration experience (construction industry experience an asset).
- Strong written and verbal communication skills.
- Intermediate proficiency in Microsoft Outlook, Word, and Excel.
- Highly organized, proactive, and able to manage multiple priorities with minimal supervision.
- Professional attitude, strong customer service skills, and a team-oriented mindset.
- Ability to adapt quickly in a dynamic and fast-paced environment.
- Familiarity with construction terminology is a plus.
