- Prepare and process Agreements of Purchase and Sale (APS) and related documentation
- Ensure all compliance requirements (FINTRAC, Tarion, disclosures, co-broke forms) are completed accurately and on time
- Maintain complete and organized purchaser files
- Support sales reporting (weekly traffic, performance, and ad hoc reports)
- Maintain accurate and up-to-date records in CRM and support data integrity
- Assist with internal reporting and coordination across teams
- Act as the first point of contact in the Sales Centre, greeting and assisting clients
- Provide general information on homes, pricing, communities, and promotions
- Support lead tracking and handoff to Sales Representatives
- Assist with purchaser file setup, follow-ups, and overall client experience
- Ensure model homes and sales centres are clean, organized, and presentation-ready
- Maintain current price sheets, marketing materials, and handouts
- Review website and MLS listings regularly to ensure accuracy and consistency
- Assist with preparation of promotional materials and sales collateral
- Liaise with internal teams (Sales, Marketing, Construction, and Admin) to ensure smooth operations
- Support coordination of closing-related tasks (including purchaser touchpoints such as gift arrangements)
- Identify opportunities to improve processes and support operational efficiency
- All other duties as requested by the Sales Representatives.
- A high school diploma is required. A post-secondary education in business administration, interior design or decorating, or related field would be considered an asset.
- One to two years of experience in an administration role, sales and/or new home building process would be considered an asset.
- The ability to thrive in a team-based environment, as well as the ability to take initiative.
- Demonstrated excellent communication skills, both verbal and written.
- The ability to build and maintain interpersonal relationships with clients, suppliers and coworkers.
- Excellent organizational, prioritization and time management skills.
- The ability to be flexible, with a willingness to learn, adapt and adjust to the changing needs of the client.
- Administrative skills with knowledge Microsoft Office skills (Word, Excel, PowerPoint) and Outlook for the purposes of data entry.
- Bilingual in French and English is considered an asset.
- Busy, and at times, a loud work environment.
- Must be of good physical condition to perform various duties in and around all parts of the model home.
- Sitting and/or standing for long periods of time.
