Position will be for approximately 3 months with the potential to be extended.The Space Planning Assistant supports efficient and effective planning and utilization of physical spaces of the University. This position collaborates with various stakeholders to develop functional space plans based on incoming service requests and other strategic directives assigned from the Space Planning Committee (SPC).Key Job Functions1. Space Planning
  • Prepare the space data required by the University for present and future development of space.
  • Participates in various Committees and Working Groups regarding campus space allocations.
  • Provides space information to external space consultants and assists them in their gathering of data from the campus constituents.
  • Review the technical reports prepared by the consultants and provide feedback/recommendations on the report's findings.
  • Based on incoming space requests, consult with faculty and / or department in the creation of space layouts. Provide AutoCAD drawings of the proposed furniture and equipment layouts.
  • Analyze the existing space inventories to recommend appropriate space allocations and efficiencies.
  • Assist with the pre-planning and coordination of moves as determined by Management that may include field measurements, verification of existing drawings, furniture inventory, and signage.
  • Coordinate and oversee non-project related, internal furniture and equipment moves as determined by Management.
  • Review vendor quotes for non-project moves for cost appropriateness for departmental approval.
  • In consultation with the Director, Client Services, create and maintain the University building identification codes and maintain the room numbering standards with other Facility Services units.
  • Maintain record files of building information which include addresses, building age, building space allocation data and floor plans, space study reports, space entitlement data sheets, and COU Reports.
  • Work in cooperation with the Space Planning Clerk and other units within Facility Services on various projects and attend meetings as required.
2. Space Database
  • Update and maintain all records associated with University space in the electronic space database.
  • Extract from the database and prepare data for various reports and documents for University administration and external entities and agencies.
  • Arrange access and train internal departments on the space database.
  • Archive and maintain space data and space layouts from the database in Excel, PDF and hardcopy formats as applicable.
  • Scan, plot print, email drawings and/ or space data upon request
3. Space Reporting
  • Obtain and reconcile Institutional data including enrollment of undergraduate and graduate students, faculty and staff distribution, post doctorate and research appointments, and student weekly laboratory contact hours by department every three (3) years for the COU Triennial Report.
  • Prepare a triennial COU Survey of Physical Facilities, as required by the Ministry of Advanced Education and Skills Development (MAESD).
  • Conduct annual physical audits of the University space.
  • Extracts space data from the database and assists in the preparation of various reports and documents for the COU and MAESD, and other University administrative groups as required
4. Administrative Support to the Space Planning Committee (SPC)
  • Acting as the Secretary to the Committee, provide technical and administrative support to the Space Planning Committee, including the review of the Committee's membership, guidelines and policies, and Committee forms (Space Request Form) in consultation with the Chair when required
  • In consultation and review with the Director, review and provide a recommendation concerning space utilization and requests that have been presented to the Committee
  • Prepare and present visual reports using the database and other electronic formats to the Committee
  • Maintain the website and MS Teams site for the Space Planning Committee and others as assigned
Skills/Knowledge/Experience/Education requiredEssential Qualifications
  • A College Diploma in Interior Design, Architectural Technology, Building/ Construction Technology or equivalent as determined by the Department
  • A minimum of 3 years' experience working in the building/construction industry as related to the functions of the position
  • Ability to work on multiple projects simultaneously with minimal supervision
  • Demonstrated interpersonal skills, including teamwork, organization, multitasking, analytical, and
problem solving
  • Ability to maintain confidentiality, a professional manner exercising tact, diplomacy, discretion, integrity and sound judgment at all times
  • General knowledge of industry-relevant legislation (e.g., AODA - Accessibility for Ontarians with Disabilities Act, Ontario Building Code, etc.)
  • Basic proficiency in service management ticketing software for managing incoming space requests
  • Experience with computer aided drafting software (i.e., AutoCAD)
  • Experience with space database software (i.e., Archibus)
  • Experience with computer software such as: MS Office Suite, including Word, Excel, Power Point; Microsoft OneDrive, Outlook; Adobe Acrobat

  • Working knowledge of workplace ergonomics
