Reporting to the Dean of Student Services and working closely with him and the Student Services team, the incumbent coordinates a set of complex and specialized administrative activities related to Student Services operations.The incumbent acts as an administrative resource person for several institutional cases requiring knowledge of current procedures, regulations, and systems. They independently manage files, collaborate in activity planning, formulate recommendations to improve processes, and ensure compliance with applicable deadlines and standards.The incumbent performs administrative duties such as organizing various social, cultural, and recreational activities; responding to general and recurring questions from students, colleagues, and community members; assessing requests and referring them to the appropriate resources when necessary. The incumbent plays an important role in fostering team cohesion and ensuring the effective functioning of the Student Services team.RESPONSIBILITIESAdministrative Tasks (55%)
- Coordinate and carry out complex administrative work related to Student Services activities, including file management, follow-up on multiple requests, and coordination of schedules.
- Inform, guide, and advise students and members of the college community by interpreting information received and referring requests to the appropriate resources.
- Ensure follow-up on communications from Student Services with students, teaching staff, and internal departments while respecting often tight deadlines.
- Collect, analyze, select, and validate data from various sources in order to prepare summaries, lists, reports, or recommendations.
- Actively participate in the planning, organization, and coordination of major institutional activities such as orientation, training on the prevention of sexual violence, graduation ceremonies, open house events, parent meetings, and various initiatives related to student success and well-being.
- Perform other related administrative tasks as needed, in collaboration with Student Services staff, such as managing student appointments, entering timesheets for certain employees, and preparing meeting minutes.
- Coordinate the request and management process for final examinations, including preparing communications, verifying received documents, and liaising with the Print Shop.
- Prepare, validate, and manage official documents such as letters, forms, and communications intended for students and staff members.
- Ensure that information content intended for students is kept up to date (e.g., written communications, distribution lists, digital platforms).
- Coordinate specific programs (e.g., food security, recognition of engagement hours, coordination of OPEQ orders), including list management, eligibility follow-up, and distribution of resources.
- Ensure the complete and confidential management of student financial assistance files (loans and bursaries), including the validation of student status, follow-up with external agencies, and direct support to students.
- Assist with the setup of examination rooms and provide supervision for students requiring accommodations during examination periods.
- Perform any other related duties assigned by the Dean of Student Services.
- Compile and maintain statistics, databases, and institutional records related to these files.

Diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or have a diploma or an attestation of studies which is recognized as equivalent by the competent authority, and have at least six (6) years of pertinent experienceCompetencies
Must be able communicate fluently in English, both oral and written.
Must possess a working knowledge of French, both oral and written.
Must possess good interpersonal skills.
