Job Description:We are looking for a detail-oriented and bilingual Administrative Assistant to join our team in Ottawa, Ontario. This is a long-term contract position within a unionized environment, offering an exciting opportunity to contribute to organizational success. The ideal candidate will have strong multitasking abilities and be proficient in both English and French.Responsibilities:
  • Manage data entry tasks with accuracy, ensuring that all information is properly recorded and maintained.
  • Coordinate and schedule meetings, conferences, and travel arrangements for team members.
  • Provide exceptional customer service by handling inbound calls and responding to email correspondence in a timely manner.
  • Support grievance processes by maintaining records and handling related documentation.
  • Perform administrative tasks such as drafting documents and preparing presentations using Microsoft Office tools.
  • Organize and maintain schedules, ensuring appointments and deadlines are met.
  • Collaborate with team members to address inquiries and resolve issues effectively.
  • Maintain confidentiality and ensure data security in all administrative activities.
Requirements:
  • A minimum of 3 years of experience in an administrative role, preferably within a unionized environment.
  • Fluency in both English and French is essential.
  • Proficiency in Microsoft Office applications, including Word, Excel, PowerPoint, and Outlook.
  • Strong organizational and time management skills, with the ability to prioritize tasks effectively.
  • Excellent written and verbal communication skills.
  • Attention to detail and a high level of accuracy in data entry and document preparation.
  • Experience in scheduling and coordinating meetings, conferences, and travel arrangements.
  • Ability to handle sensitive information with discretion and professionalism.
