
Facilities Coordinator

- A six-kilometer tunnel and associated tunnelling works from Exhibition to Don Yard portal (west of the Don River).
- Stations:
- One above-ground station to be integrated with the existing GO Transit Exhibition Station.
- Two underground stations to be integrated with the existing TTC Osgoode and Queen subway stations.
- Four new underground stations (King/Bathurst, Queen/Spadina, Moss Park, Corktown).
- Improve the quality of life for commuters by reducing daily travel time.
- Reduce crowding on the existing Line 1 (Yonge-University) subway.
- Up to 57,000 more jobs accessible by transit (in 45 minutes or less) for Toronto residents.
- Economic and community growth along the future transit line and thousands of job opportunities annually during construction.
- Reduction in traffic congestion, greenhouse gases, and fuel consumption by providing an alternative transportation option.
- Administrative Support: Provide administrative assistance to the project management team, including scheduling meetings, invoicing, preparing documents, and organizing files.
- Office Management: Oversee daily office operations, including ordering supplies, managing office equipment, and coordinating maintenance and repairs. Set up of new offices, budget tracking and oversee general contracts.
- Office Trailer Management: Manage inventory for site supplies, coordinate deliveries, process invoices and budgets.
- Document Management: Maintain accurate records and documentation related to projects, contracts, and correspondence.
- Vendor Coordination: Liaise with vendors and suppliers to obtain quotes, place orders, and ensure timely delivery of materials and services.
- Team Collaboration: Collaborate with other team members to support project objectives and foster a positive work environment.
- Event Coordination: Coordinate company events, meetings, and training sessions, including scheduling, logistics, and catering arrangements.
- Problem Solving: Identify issues or challenges and proactively implement solutions to ensure efficient office operations.
- The Office Coordinator will travel between the various sites and offices and would occasionally be required to accept major deliveries etc. which occur outside of regular office hours.
- Proven experience in an administrative or office coordination role, preferably within the construction industry or a related field.
- Strong organizational and time management skills, with the ability to prioritize tasks and manage multiple deadlines effectively.
- Excellent verbal and written communication skills, with the ability to interact professionally with all levels of staff, clients, and vendors.
- Meticulous attention to detail and accuracy in completing tasks and maintaining records.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and other relevant software applications.
- Ability to adapt to changing priorities and work effectively in a dynamic environment.
- Strong interpersonal skills and the ability to work collaboratively as part of a team.
- Proactive approach to problem-solving and the ability to think critically to resolve issues as they arise.
- Resourceful and proactive in finding solutions and resolving challenges independently.
- Willingness to take on additional responsibilities and assist with tasks outside of the typical scope of the role as needed.
- Valid G License.
- High school diploma or equivalent required.
- Additional education or training in office administration, business management, or a related field preferred.
