- Assist estimators with parts sourcing, pricing, and availability confirmation.
- Receive, inspect, and verify parts orders from vendors, ensuring correct quantities and undamaged shipments.
- Sign for deliveries and promptly enter parts into the management system.
- Mirror match parts to disassembled components or reference photos for accuracy.
- Organize and label parts with repair order (RO) information for easy tracking and retrieval.
- Monitor and track outstanding parts orders, ensuring timely updates on estimated time of arrival (ETA) and backorders.
- Process and track returns and credits for incorrect or defective parts.
- Maintain an organized and safe parts storage area in compliance with health and safety standards.
- Oversee the repair process from start to finish, ensuring timely and efficient workflow.
- Maintain a sense of urgency regarding completion targets and changing priorities.
- Distribute work among technicians to maximize efficiency and track productivity.
- Plan and prepare for scheduled repairs by ensuring necessary parts, paint codes, and equipment are ready in advance.
- Conduct regular production meetings to review work-in-progress (WIP), set expectations, and communicate priorities.
- Work closely with estimators and technicians to resolve issues and minimize production delays.
- Monitor shop cleanliness and ensure waste materials are disposed of according to shop policies.
- Ensure adherence to health and safety guidelines, including WHMIS and PIPEDA compliance.
- Arrange sublet services for additional repair needs, such as calibrations, tinting, PDR, and alignments.
- Assist in scheduling and balancing workloads to maintain shop efficiency.
- Maintain communication with front-end staff to ensure accurate updates for customers and insurance providers.
- Utilize Mitchell Connect and Audatex software
- Understand the flow of repair process in the shop
- In depth understanding of OEM Procedures
- In depth knowledge of Health and Safety guidelines
- Minimum 1-3 years of experience in an automotive or collision repair setting.
- Strong understanding of inventory management and automotive parts logistics.
- Familiarity with repair management systems (e.g., Summit, Mitchell, Audatex) is an asset.
- Knowledge of insurance Direct Repair Programs (DRP) and guidelines.
- I-CAR training or certification is an asset.
- Proficiency in Microsoft Office Suite (Excel, Outlook, Word).
- Valid 'G' Class (or equivalent) driver's license with a clean abstract.
- Ability to lift up to 50 lbs occasionally.
