The Executive Administrative Assistant will serve as the primary point of contact and trusted
partner to the CEO, ensuring seamless daily operations and enabling the CEO to focus on
strategic priorities. This role demands exceptional organizational skills, discretion,
adaptability, and the ability to operate effectively in a fast-paced, dynamic environment.The successful candidate will have experience supporting C-suite executives in publicly
traded or high-growth companies-ideally in the life sciences or biotech sector-and will be
adept at handling sensitive information, managing complex schedules, and interfacing with
stakeholders from investors to internal teams.Key Responsibilities:
Executive Support
  • Manage and prioritize the CEO's calendar, appointments, and travel arrangements
(domestic and international) to maximize productivity.
  • Coordinate and prepare for Board of Directors meetings, investor presentations,
analyst calls, and other high-profile engagements.Draft, proofread, and manage correspondence, presentations, and confidential
documents.
  • Track and ensure follow-up on key action items from meetings.
Stakeholder Engagement
  • Serve as a liaison between the CEO and internal/external stakeholders, ensuring
clear communication and timely responses.
  • Coordinate interactions with investors, analysts, strategic partners, and key opinion
leaders.Operational Excellence:
  • Anticipate needs and proactively identify solutions to logistical or operational
challenges.
  • Support corporate communications and public company obligations, including
earnings calls and press releases, in collaboration with IR and Communications
teams.
  • Assist with expense reports, budget tracking, and compliance-related
documentation.Confidentiality & Governance:
  • Handle highly sensitive and confidential information with the utmost discretion.
  • Ensure adherence to public company governance standards, including SEC-related
protocols for communications and scheduling.Qualifications required:
  • Minimum 5+ years of experience supporting C-level executives, preferably in
biotech, pharma, healthcare, or another highly regulated sector.
  • Exceptional organizational skills with the ability to manage multiple priorities and
deadlines.
  • Strong written and verbal communication skills in French and English.
**NOTE** This role requires excellent English communication skills spoken and written, as there will be communication with stakeholders across Canada.
  • Proficiency in Microsoft Office Suite, and modern productivity tools.
  • Ability to work independently and exercise sound judgment.
Preferred:
  • Experience working for a publicly traded company and familiarity with investor
relations and corporate governance processes.
  • Prior experience coordinating Board of Directors and investor relations activities.
  • Familiarity with biotech/biopharma terminology and industry trends.
  • Comfort working in an entrepreneurial, science-driven environment.
