The Executive Administrative Assistant will serve as the primary point of contact and trusted
partner to the CEO, ensuring seamless daily operations and enabling the CEO to focus on
strategic priorities. This role demands exceptional organizational skills, discretion,
adaptability, and the ability to operate effectively in a fast-paced, dynamic environment.The successful candidate will have experience supporting C-suite executives in publicly
traded or high-growth companies-ideally in the life sciences or biotech sector-and will be
adept at handling sensitive information, managing complex schedules, and interfacing with
stakeholders from investors to internal teams.Key Responsibilities:
Executive Support
- Manage and prioritize the CEO's calendar, appointments, and travel arrangements
- Coordinate and prepare for Board of Directors meetings, investor presentations,
documents.
- Track and ensure follow-up on key action items from meetings.
- Serve as a liaison between the CEO and internal/external stakeholders, ensuring
- Coordinate interactions with investors, analysts, strategic partners, and key opinion
- Anticipate needs and proactively identify solutions to logistical or operational
- Support corporate communications and public company obligations, including
teams.
- Assist with expense reports, budget tracking, and compliance-related
- Handle highly sensitive and confidential information with the utmost discretion.
- Ensure adherence to public company governance standards, including SEC-related
- Minimum 5+ years of experience supporting C-level executives, preferably in
- Exceptional organizational skills with the ability to manage multiple priorities and
- Strong written and verbal communication skills in French and English.
- Proficiency in Microsoft Office Suite, and modern productivity tools.
- Ability to work independently and exercise sound judgment.
- Experience working for a publicly traded company and familiarity with investor
- Prior experience coordinating Board of Directors and investor relations activities.
- Familiarity with biotech/biopharma terminology and industry trends.
- Comfort working in an entrepreneurial, science-driven environment.
