
Executive Assistant and Business Support

- Provide confidential administrative support, including but not limited to: - Manage day-to-day schedule of Country President, making appointments, prioritizing the most sensitive matters and ensuring optimum use of time. - Arrange meetings, including scheduling, sending reminders and organizing catering when necessary for internal and external engagements. - Provide administrative assistance, such as writing and editing emails, drafting memos on the Country President’s behalf.
- Work with Country President and leadership team to support key country communications processes, including: - Coordination of all aspects of all employee meetings and town hall calls, including setting dates, issuing invitations, providing technology support, coordinating agenda and speaker readiness with communications resource, and issuing presentation notes. - Assist in key presentation decks and support leaders in their updates.
- Provide support to key HR processes as required.
- Using various software, including word processing, spreadsheets, and presentation software to prepare reports and/or special projects.
- Accessing internal systems to export reporting data for sales and marketing on a routine basis
- Proven experience as an executive assistant or other relevant administrative support experience working with senior leaders and external customer/contacts, including media representatives.
- College diploma, administrative professional accreditation (Canadian Certified Administrative Professional) or equivalent experience is required.
- Bilingual (French/English) is an asset.
- High level of computer proficiency and full understanding of the full Microsoft Office suite of tools (Particular focus on a high level of proficiency with Microsoft PowerPoint developing professional presentations. Proficiency with Microsoft Excel as an analytical tool, using pivot tables. Previous experience with Power BI is also an asset. Experience using DocuSign to process contracts etc.)
- Excellent written and verbal communication skills.
- Comfort with multi-tasking and ability to easily switch between diverse roles and tasks is a must.
- Proactive problem-solving and ability to act independently.
- Ability to work in a Hybrid working environment.
