
Junior Operations Specialist

- Financial Administration: You will streamline our financial processes and improve operational efficiency by owning key workflows.
- Manage the end-to-end invoicing process for new customers, including drafting welcome and collections emails.
- Handle pre-approved expense cards and adhere to built-in approval procedures.
- Process and track receipts and expenses using our internal system.
- Assist in travel budget estimations.
- Office and Facilities Management: You will become the office linchpin, creating a seamless and productive environment for everyone.
- Act as the primary point of contact for building management communications.
- Oversee regular office orders and restock essential supplies.
- Manage kitchen operations, including acting as the Kitchen Manager to ensure a tidy space and stocked.
- Manage office key card access for new and existing employees.
- IT and Inventory Support: You will help keep our team productive and our technology organized.
- Maintain the company's computer and equipment inventory.
- Provide basic computer troubleshooting and support for the team.
- Handle the IT provisioning for new hires and exiting employees.
- Travel: You will support our team by managing travel and conferences.
- Book and manage travel and conference arrangements for employees.
- Handle all aspects of company apparel and branded merchandise management.
- Coordinate business card orders.
- Safety and Culture: You will directly contribute to our team's well-being by fostering a positive, safe, and collaborative workplace.
- Lead and run the Health and Safety Committee.
- Contribute to maintaining a positive and organized work environment for everyone.
- Other duties as assigned
- Post-secondary degree in Business or a related field.
- Ability to be onsite at our Toronto Office location 5 days a week.
- A valid workers' health and safety certificate is required or the willingness to obtain training.
- Previous experience in an administrative, operations, or office management role is an asset.
- Exceptional organizational skills and attention to detail.
- Proficiency with Google Workspace.
- Strong verbal and written communication skills.
- Ability to work independently and manage time effectively.
