Role Synopsis: Reports to the Line Producer and has check-ins with the Directors and Supervisors for the overall production coordination. This role may focus on a specific department (eg. FX, Lighting/Comp, etc) or provide support across departments depending on production needs.Job Duties:
  • Provide daily and weekly updates to the Line Producer flagging key priorities and progress against the established schedule
  • Track and communicate status updates (deliverables, quotas, targets) to the Line Producer and Supervisors, ensuring accurate information is maintained in FlowPT (fka Shotgrid)
  • Ensure that naming conventions are strictly followed across all departments and phases of production.
  • Follow protocols from the studio IT and Pipeline team for pipeline tools, naming conventions, and file management procedures, and notify them of any issues or questions.
  • Assist with task assignments to artists in alignment with the production schedule, confirming due dates with the Line Producer and/or department Supervisors
  • Maintain report databases (ie shot delivery logs, asset completion etc) for departmental and overall production tracking
  • Work with Artists to ensure accurate assignments
  • Work with overseas studios and internal teams to ensure accurate assignments, prompt feedback and daily reviews
  • Ensure clear notes are provided for artists for every assignment
  • Take notes at meetings and disseminate to the team within 8 hours (or less)
  • Ensure all tasks are assigned and tracked via FlowPT (fka Shotgrid)
  • Act as liaison between departments, facilitating communication and helping to identify and resolve potential bottlenecks
  • Kickoff assignments with Artists and go over how they should be putting things into FlowPT, submitting and saving their work etc.
  • Flag potential delays or delivery risks early, escalating to the Line Producer as appropriate.
  • Provide production and administrative support to Producers and Directors as required.
  • Enter and maintain production data such as designs, scripts, storyboards, CG models, FX and Lighting/Comp, sets, backgrounds, layout, animation, etc.
  • Prepare and distribute casting materials such as sides, scripts and artwork (if applicable)
  • Create and distribute production reports
  • Schedule meetings and reviews, ensuring necessary materials are prepared and participants are notified
  • Align and engage with Kickstart’s core values
  • Interact respectfully and professionally with colleagues, other staff members, partners and clients
  • Additional duties as requested
Requirements
  • University degree or equivalent preferred
  • 3+ years industry experience preferred
  • Working knowledge of FlowPT (fka Shotgrid)
  • Proficiency in Google Workspace
  • Experience in 3D animation, and bonus points for specifically working with FX, Lighting and Comp.
  • Strong organizational and project coordinating skills; able to adapt to shifting priorities
  • Must be capable of working independently or as part of a team
  • Demonstrates initiative, is a problem solver, knows when to escalate issues
  • Must have strong communication (both verbally and written) and interpersonal skills
  • Ability to maintain confidentiality
  • Solid work ethic and positive attitude
  • Efficient, detail-oriented, strong organizational skills
  • Ability to deliver work on time and meet established performance objectives
