In addition, this role collaborates with departments such as Marketing and B2B & Partnerships to ensure sponsorship entitlements are fulfilled and communication is effectively maintained in these partnerships. This role also coordinates and oversees all trade show experiences involved on the show floor, including all stages, activations and partnered mini events.Key Responsibilities1. Coordinates the delivery and fulfillment of sponsorship entitlements with sponsors for in-person and online events.Communicates with sponsors regarding sponsored education and presentersOversees the process of delivering sponsorship entitlementsWorks with Magazine editor for ads and editorialsSends pre - & post-event eblastsEnsures sufficient Exhibitor Coupons availabilityEnsures appropriate information display on the leaderboardsIssues discounts, promotion codes, complimentary passes and registrations for various events2. Coordinates information sharing and event logistics with Trade Show exhibitors for in-person and online events.Plans and shares regular communication with exhibitorsCreates and maintains the Exhibitor & Volunteer HubInitiates the planning for event set up (load in) and tear down (load out)Supports onsite logistical needs for exhibitorsServes as the direct contact and client services representative3. Responsible for overall Trade Show Experience.CoordinationOversees onsite flow of all activations, mini-events and experiences on the trade show floor and stagesSetupEnsures all signage, schedules, tables, chairs, and activation spaces (Meet & Greet and Photo Booth) are properly set upVerifies the setup of all elements before the event beginsPrepares contingency plans for any last-minute changes or issuesDebriefingCollaborates with the Trade Show Volunteer Team Leaders, volunteers and security team to review the Trade Show experienceAssesses crowd control strategies and security measures at high and low traffic timesEvaluates the content of narratives (e.g. scripts and guidelines) being communicated to the audienceReviews the expectations and direction provided for emergencies and critical scenarios4. Collaborates with internal stakeholders and departments to create seamless integrations and operations of the event experience.Works closely with the B2B Sales Experience team to ensure sponsorship entitlements are managed and deliveredSupports email and social media marketing campaigns, including content and cadence, as well as Call Campaigns when neededWorks with Certification & Education Experiences Team to align event experience on the trade show stagesCommunication/Business RelationshipsInternal (within the Organization)Marketing / B2B Sales & Partnerships departmentPurpose of Communication: Collaborates on event promotional material / Collects sponsor and exhibitor entitlementsExternal (outside the Organization)SuppliersPurpose of Communication: Creates and manages trade show floor plans for in-person eventsEducationMinimum Required: Post Secondary EducationPreferred: Focus on Event Planning, Project Management, or Communications and Partnership ManagementWork Experience1-3 years of relevant experienceKnowledge, Skills & Abilities
  • Excellent verbal and written communication skills
  • Strong time-management and organization skills
  • Able to manage multiple projects
  • Computer skills including Word, Excel, Outlook, and PowerPoint.

  • Experience and interest in the fitness industry is an asset
