Job Category: OperationsJob Description:We are currently seeking a Wealth Operations Administrator to join our team.The Wealth Operations Administrator provides administrative and operational support to the Mutual Fund sales teams, branch management and wealth leaders. The administrator handles registrations for licensed roles including on-boarding and off-boarding and timely reporting of all material changes. The administrator will assist with sales and commission reporting, tracking and projects as required. Through effective communication the administrator will serve as a liaison between Aviso Wealth and Tru Cooperative Bank to support the advisory teams.Here's what would be included as a part of your typical day * Registrations: Responsible for handling licensing and registration additions, changes, and terminations within established timelines through ongoing monitoring of HR notices and regular communications with internal stakeholders. Support on-boarding and off-boarding of licensed employees, including ensuring system access and training resources are arranged. With rep moves and departures, ensure that impacted clients are reassigned and advised as required.
  • Reporting: Generation and verification of reports and data from Aviso reporting to provide to Finance. To include invoice processing, monthly commissions audits, Conquest reporting, and ad hoc reporting. Follow up and resolution of discrepancies.
  • Operational Support: Accountable for proactive monitoring of Aviso account activity and follow up with advisors to prevent member impact. Responsible for maintaining knowledge to provide operational support to MFDA reps on Credit Union specific procedures and complex issues as they arise. Responsible for daily & monthly sweep account balancing, trade corrections, error resolution and tracking of issues, and arranging marketing approvals for business cards, outlook signatures, website and other marketing materials.
  • Relationship management: Proactively builds solid working partnerships with key internal stakeholders including branch managers, finance, central operations, and wealth team members as well as external partners such as Aviso and third-party suppliers.
  • Communications: Responsible for monitoring the wealth management inbox and HR notices for action items and effective communication with branch managers and internal partners to ensure reporting deadlines are met.
Required Skills, Experience & Qualifications
  • High School Diploma required
  • Canadian Investment Funds (IFIC), Branch Managers examination (BMC) course or equivalent required
  • College, Trade or Tech School Diploma (2 years) in related discipline
  • 2 years related administrative and operations experience, preferably in a financial institution required
  • 2 years of experience as a mutual funds representative or branch compliance manager preferred
  • 1+ year experience with data analysis or reporting preferred
  • Demonstrated strong interpersonal and written communication skills.
  • Good organizational skills with strong attention to detail and ability to prioritize tasks to meet deadlines.
  • Demonstrated ability to manage and handle sensitive material
  • Proficient in MSOffice applications Excel, Word, Outlook, banking system, CRM and web-based applications
  • Knowledge of Dataphile, Univeris and Power BI
  • Displays an understanding of risk and risk ownership by being able to demonstrate adherence to policies and procedures.
