Job DescriptionWhat is the opportunity?The Executive Assistant will provide organizational and administrative support to senior executives in Global Investment Banking and team members. Skills required include a solutions-oriented attitude, a track record of building strong relationships with peers, and an ability to juggle multiple demands in a very fast paced and dynamic environment.*The successful candidate must have experience working in professional services environment, and ideally in a Capital Markets business.What will you do?Maintain schedule/calendar of key activities for senior executives and ensure key business critical dates are met. Prioritize and triage as neededExhibit initiative and “follow-through” to help leadership team as necessary. Identify areas where assistance can be provided and pursue the opportunity to do soCommunicate on a timely basis the status of key deliverables as appropriateContinuous and consistent performance of administrative tasks, including but not limited to, coordinate meeting arrangements, setting up conference calls, arranging restaurant reservations, catering, ordering stationary supplies, making photocopies, scanning of documents, organizing transportation, organizing and maintaining client lists and data base, etc.Assist staff in proofreading legal documents and perform mark-ups changesPrepare, track and manage expense reports via expense reporting systemPrepare and/or review, email requests for approval (e.g. meeting materials, reports, etc.) on a daily basisPrint and bind presentation materials, help in formatting if requiredMake domestic and international travel arrangements and handle changes as neededAssist staff in complying with regulatory requirements with OACIQ, AMP and AMF including maintaining an organized filing system, both digitally and with paper documentsAct as backup to other department staff members as neededParticipate in performing tasks on “special projects” as requestedProvide access to Sharefile and update as requestedWhat you need to succeed?*Bilingualism (English and French) required, as you will regularly do business with RBC partners and/or employees across Canada with English and French speaking needs. ​Minimum 5+ years’ experience in an executive assistant capacity supporting senior executivesSecondary/College education requiredStrong verbal and written communication skills in French and English both internally/externallyProactive, solutions-oriented mindset and anticipate needs without being askedAbility to partner effectively with key stakeholders, build strong collaborative relationshipsDemonstrate ownership and execution of primary responsibilitiesOutstanding time management skills, diplomacy, tact, and positive can-do attitudeAbility to maintain consistent and high levels of performance and attention to detailsEnjoys working in a time-sensitive, fast-paced environmentCapable of multi-tasking across projects when neededExperience working on highly confidential projects with appropriate discretion and sensitivityStrong working knowledge of Word, Excel, PowerPoint and OutlookWhat’s in it for you?​We thrive on the challenge to be our best, progressive thinking to keep growing, and working together to deliver trusted advice to help our clients thrive and communities prosper.
