- Coordinate and manage the settlement of refining lots, contacting customers to resolve discrepancies and obtain missing documentation.
- Communicate technical details of incoming refining lots to current and prospective customers, including explanations of pricing structures, refining methods (metallics vs. sweeps), and counter purchase versus refining options.
- Train Refining Clerks and Customer Service staff on proper identification, combination, and treatment of refining lots, as well as accurate documentation procedures. Provide guidance to Security on processing incoming lots.
- Review and validate new quotes for accuracy; input and maintain pricing structures within SAP. Utilize Business Objects to generate targeted mailing lists, design and execute refining promotions, and analyze campaign results.
- Prepare and authorize customs documentation; coordinate domestic and international shipments, including cross-border transactions with the United States.
- Communicate refining results to customers, review settlement options, provide market-based quotations, and explain pricing components, deductions, and market fluctuations.
- Address and resolve customer complaints by reviewing assay results, providing technical explanations, offering solutions, and coordinating retesting when required.
- Conduct proactive sales outreach to secure refining lots, respond to quote requests, and educate customers on refining processes both administratively and technically.
- Audit incoming refining lot documentation for completeness and accuracy following processing by Security and Refining Clerks.
- Process settlements including Ready Stock, Custom Orders, or return metal orders; manage credit card transactions and settlement deductions for outstanding balances or metal obligations.
- Provide dedicated account management for key refining customers to ensure operational efficiency, accuracy, and high service standards.
- Perform additional duties as assigned.
- College diploma or equivalent in business administration, marketing or similar field combined with previous experience in sales, marketing or customer service
- Excellent verbal and written communication skills in English
- Advanced computer skills (Outlook, MS Office, SAP, website design)
- Attention to detail
- Experience in jewellery/precious metals industry is considered a strong asset

- Organizational skills & Analytical skills with the ability to multitask in a fast paced environment.
- This is adding an additional headcount to our Customer Service Department
- Hourly rate for this position is $24 an hour
- We do not use artifical intelligence to screen candidates.
