- Provide assistance to project managers and project team, in coordinating, planning, communicating, and executing the delivery of core project components.
- Manage project/work plans, tracking and analytics for the program/project execution.
- Responsible for creation and/or maintenance of management dashboards and executive summaries.
- Support the coordination of high-profile projects to ensure deliverables meet business needs on time and within budget.
- Assist in tracking project scope, timelines, and costs using OPS project management tools and frameworks.
- Communicate with ministry staff and external partners to support relationship management.
- Help gather and document project requirements and maintain detailed project schedules.
- Coordinate with team members to clarify roles, responsibilities, and expectations.
- Support conflict resolution and ensure knowledge sharing among team members.
- Assist in preparing and monitoring project budgets, including estimates and reconciliations.
- Use project management tools to record and report project data accurately.
- Participate in team meetings and contribute to project planning and updates.
- Maintain and update the Integrated Project Plan (IPP) based on changes and feedback.
- Monitor project progress and timelines, and report on delays or risks/issues.
- Prepare regular status updates and progress reports for stakeholders.
- Track and log project issues, and support issue resolution processes.
- Help identify risks early and assist in developing mitigation strategies.
- Review and document change requests and update project plans accordingly.
- Support the development of business transformation and adoption plans.
- Create and maintain knowledge transfer documentation.
- Participate in steering committees and stakeholder meetings as needed.
- Assist in preparing reports and presentations for senior executives.
- Support change management efforts throughout all project phases.
- Promote adherence to OPS I&IT standards and best practices.
- Follow OPS Unified I&IT Project Methodology and eHealth Ontario gating processes.
- Demonstrate strong teamwork and reliability in meeting deadlines.
- Experience working with federal/provincial/broader public-sector healthcare providers
- Knowledge of the provincial immunization system and Public Sector large complex IT Health related projects or equivalent
- Experience with integration of Clinical IT Systems such as Client and Provider Registries
- Knowledge of Public Sector Enterprise Architecture artifacts (or similar), processes and practices, and ability to produce technical documentation that comply with industry standard practices
- Knowledge of adopting and adhering to Public Sector Unified I&IT Project Methodology, Public Sector Enterprise Architecture and Public Sector Gating process, and Public Sector Standard Systems Development Methodologies.
- Proficient in project management software (e.g., MS Project, Planview).
- Solid understanding of project management principles, including scope, risk, cost, quality, and stakeholder roles.
- Skilled in defining project scope and translating business needs into technical solutions.
- Experienced in assisting in the creation and maintaining detailed project plans, schedules, and resource allocations.
- Assists overseeing the full project lifecycle—from design and development to testing, deployment, and monitoring.
- Assists leads cross-functional teams including analysts, designers, developers, and testers.
- Assists coordination with stakeholders, working groups, and forums to ensure alignment and engagement.
- Helps building strong relationships by understanding business needs and fostering collaboration.

- Experience with Agile project management and development practices (Scrum Master certified preferred); managing the backlog, sprint planning, velocity tracking, Agile testing, retrospects, etc.
- Knowledge and understanding of Information Management principles, concepts, policies and practices
- Experience with integrated change control process
- Experience with project management software such as MS Project, Planview, Jira, or Microsoft DevOps Azure
