The Toronto School of Art is seeking an experienced Office Administrator who blends a passion for the visual arts with a professional and organized approach to customer service and office systems. Reporting to the Associate Director, you will be the first contact and the face of the school for students – supporting student registrations, supporting instructor’s needs, maintaining efficient front desk operations, and ensuring our studios run smoothly.Key ResponsibilitiesFront Desk & Student Services
  • Provide thoughtful, polite, and helpful support to current and prospective students via email, phone, and in-person.
  • Process student registrations and payments (parking, material purchases, payment for courses and payment plans) using TSA’s registration platform and POS system.
  • Provide administrative support for special events, when needed.
  • Develop a deep understanding of our curriculum and faculty to provide tailored course recommendations to students.

Studio Support
  • Assist with the upkeep of studio workspaces.
  • Maintain inventory and condition of studio supplies and equipment
  • Assist with technology set-up in support of instructors and events if needed
  • Assist with set-up for events
Office & Systems Administration
  • Assist in preparation for new class terms with back-end data entry and proofing of course listings.
  • Manage agendas for weekly staff meetings.
  • Assist in managing building access/security schedules
  • Prepare beginning and end of term notices, paperwork and tracking for students and instructors (lockers clean- out notices, ceramic pick-up schedule, class lists, welcome notes, etc.)
  • Assist as the primary point of contact for Health & Safety and Fire Plan requirements.
  • Assist with meeting minutes (including Board of Governors if required)
  • Manage the processing of course evaluations.
