What you'll doThe Executive Assistant will provide administrative, managerial and organization assistance to the President, Jumpstart Charities, as well as team support to other executives and their assistants as needed. The successful candidate will be a high-energy, experienced executive assistant with an extremely professional demeanor, business maturity and discretion. This role will satisfy the self-starter who takes pride in contributing through support for the C-suite and has enthusiasm for coordinating key events, recognizing that s/he is an extension of the office of the Executive and will represent their presence accordingly.Proven track record in an administrative roleHigh degree of professionalism, business maturity, common sense, and good judgementStrong organization skills and attention to detail and accuracyFlexibility and able to thrive in a fast-paced environmentAble to maintain confidentiality on highly sensitive mattersTakes pride in contributing through support with a positive attitudeCoordinate all administrative aspects, including dynamic calendar management, meeting setup (A/V equipment and catering, etc), guest pickups, expense reports, travel arrangements, improvement of filing systems, and ordering of supplies to ensure the team operates efficiently and effectivelySchedule and organize quarterly Jumpstart Board and Committee meetings, and support Board members with travel logisticsSchedule and organize the quarterly business review meetings and annual planning meetingsSchedule monthly and quarterly team meetings, including agenda and presentation material preparation, etc.Create and monitor team budgets including processing invoices, tracking to budget, and proactively bringing forecasted variances to the attention of managementOnboarding and offboarding new employeesPlan and co-ordinate team eventsOversee high level calendar by learning the business priorities, in addition to a volume of email triage and responseCoordinating complex schedules and travel itinerariesAd hoc projects as assignedOther related duties as requiredWhat you bring5+ years of experience supporting C Suite level executives role within a fast paced and/or professional firmAdvanced working knowledge of Adobe and Microsoft Office Suite (Strong PowerPoint Skills) Knowledge of Hyperion, PeopleSoft, Concur and SmartView is an asset.Superior written and verbal communication skillsHigh level of independence and can be relied upon to follow work through to completionProven ability to manage multiple tasks simultaneously, take initiative, exercise sound judgement, and anticipate needsProven ability to establish valuable relationships within an organizationDemonstrate a positive attitude, with the ability to cope well under pressure with little or no supervisionProvide professional administrative support in a helpful, respectful and friendly mannerExperience monitoring budgetsExtremely professional with executive presence, tact, and political savvyWilling to occasionally monitor email off-hours#LI-NV1About UsCanadian Tire Jumpstart Charities is a national charity committed to helping kids of all abilities in communities across Canada thrive through sport, recreation and play.
