- Process a high volume of vendor invoices from receipt through payment, ensuring accuracy, completeness, and appropriate approvals
- Review, validate, and process employee reimbursements in accordance with established policies and documentation standards
- Administer recurring payments, allowances, and benefit-related transactions
- Complete corporate credit card reconciliations and related expense entries
- Maintain detailed tracking files and reconcile transactional data to accounting records
- Ensure all transactions are properly supported and audit-ready at all times
- Respond to audit and internal documentation requests as required
- Serve as a primary point of contact for internal stakeholders, retirees, external partners, and vendors regarding accounts payable, expenses, and benefit-related inquiries
- Manage a high volume of email and phone correspondence, including follow-ups on missing documentation, approvals, or corrections
- Clearly explain processes, requirements, and timelines, and return non-compliant submissions for revision
- Provide timely, respectful, and professional service, including when handling sensitive or complex matters
- Follow up on outstanding items to ensure deadlines are met and issues are fully resolved
- Handle confidential and personal information with a high degree of discretion and care
- Experience in accounts payable or a similar finance or administrative role
- Comfortable working in a high-volume, repetitive, and process-oriented environment
- Proficiency in Excel (basic to intermediate level)
- Experience using an accounting or ERP system; exposure to mid-market systems is an asset
- Strong attention to detail, accuracy, and follow-through
- Well-organized with the ability to manage deadlines independently
- Clear and professional communicator, able to explain financial or administrative information to individuals with varying levels of technical knowledge
- Ability to remain calm, patient, and solution-oriented when dealing with sensitive or complex situations
- High level of professionalism, reliability, and discretion
- Experience working in a service-oriented environment and supporting a diverse stakeholder group
