Administrative Secretary Specialty MedicineNeurology Clinic - BC Children's HospitalVancouver, BCIn accordance with the Mission, Vision and Values, and strategic directions of Provincial Health Services Authority patient safety is a priority and a responsibility shared by everyone at PHSA, and as such, the requirement to continuously improve quality and safety is inherent in all aspects of this position. This position provides secretarial support within the Specialty Medicine program. Tasks include secretarial support to the office and the Medical Director, scheduling clinic appointments, submitting check requisitions for reimbursements and expenditures to PHSA Finance, typing, sorting and distributing related documents, and inputting, sorting and retrieving data into/from databases, obtaining patient information utilizing computerized software applications according to established policies, standards and procedures. Arranges meetings as directed and books meeting rooms. Maintains calendars, records, transcribes and distributes minutes or notes of meetings.What you’ll do
  • Schedule patient appointments and book follow-up appointments into database. Input, sort, retrieve and maintain database of patient information according to established policies, standards and procedures.
  • Perform reception duties including receiving and directing patients, answering, screening and redirecting phone calls, taking messages including calls from pharmacies for refill prescriptions and verification.
  • Perform word processing for the program such as drafting letters, drafting agendas, letters to outside facilities either local or provincial.
  • Arrange meetings as directed, book meeting rooms. Maintain calendars, record, transcribe and distribute minutes or notes of meetings.
  • Send, receive, sort, and distribute all incoming mail, faxes, report and document and process outgoing mail. Arrange for courier service as needed.
  • Maintaining inventory of office/medical supplies for program by processing requisitions’ for stationary and medical supplies, according to prescribed guidelines and instructions.
  • Prepare and submit expense claims by ensuring invoices are coded to correct cost centre and authorized for payment. Maintain a bring-forward system for all billings/invoices. Submit check requisitions for reimbursements and expenditures to PHSA finance.
  • Access database and input/extract information to establish, maintain and store financial data.
  • Perform other related duties as assigned.
What you bringQualifications
  • Grade 12 and two year’s recent related experience or an equivalent combination of education, training and experience.
  • Knowledge of medical terminology
  • Keyboard at least 45 wpm.
  • Demonstrated knowledge of the historic and ongoing impacts of settler colonialism on Indigenous Peoples in social and health contexts, including supported by significant knowledge of Indigenous-specific mandates, including clear understanding of and commitment to eradicate Indigenous-specific racism and discrimination and embed Indigenous Cultural Safety and Humility.
  • Demonstrate comprehensive knowledge of the historic and ongoing impacts of settler colonialism and systemic racism on Indigenous Peoples within social and health contexts. This includes understanding how these factors contribute to current health disparities and barriers to care. Show a clear commitment to identifying, challenging, and eradicating Indigenous-specific racism and all forms of discrimination impacting equity-deserving groups within health care settings. This involves familiarity and understanding Indigenous Cultural Safety and Humility recognizing personal biases, institutional barriers, engaging in anti-racism education and training and advocating for systemic change.
  • Demonstrated knowledge and understanding of legislative obligations and provincial commitments within Children's & Women's Health Centre Administrative Clinics contexts found in the foundational documents including Truth & Reconciliation Commission’s Calls to Action (2015), In Plain Sight (2020), BC's Declaration on the Rights of Indigenous Peoples Act (2019), United Nations Declaration on the Rights of Indigenous Peoples (UNDRIP), Reclaiming Power and Place Missing and Murdered Indigenous Women & Girls Calls for Justice (2019), the Declaration Act Action Plan and Remembering Keegan: A First Nations Case Study - BC Human Rights Code, BC Anti-racism Act and how they intersect across the health care system.
