As our Site Administrator you will be responsible for coordinating and managing all administrative functions in support of projects to meet BWXT and customer standards. This involves working with various internal and external stakeholders to ensure accurate time reporting. This role supports Project and Site Management by overseeing documentation, coordinating project information, managing records, and facilitating communication between the team deployed to site and other departments. This position requires strong communication, organizational skills, multitasking ability, working independently, and as a team.Location:Port Elgin, ONYour Day to Day as our Site Administrator
- Responsible for understanding customer and contractual time keeping and invoicing requirements, and documentation, related to BWXT projects.
- Ensures adherence to both BWXT and customer policies and procedures relative to administrative processes and documents.
- Coordinates the collection, preparation, and distribution of project-related records and reports such as accountability logs, organizational charts, daily attendance logs, and pre/post- job brief documentation.
- Manages time charges, and sub-contractor invoices against the applicable work breakdown structure (WBS) throughout the project lifecycle.
- Responsible for enrolling BWXT & affiliate employees in customer biometrics system, monitoring data for inconsistencies, variances, and missed punches.
- Provides support to BWXT Onboarding & Training Coordinators as applicable.
- Administers training sessions for BWXT supervision to ensure the expectations of the daily time reporting process are met and understood.
- Reviews and updates Site Instructions, as applicable to the contract and job specific requirements.
- Facilitates meetings and ensures effective communication with stakeholders, both internal and external.
- Ensures employee time charges are accurately stated and are in alignment with specific customer time clock systems.
- Develops a crew list that captures personnel details, job roles, compensation structure, and shift schedules, including start and end times, to ensure accurate tracking and synchronization with the customers clock system.
- Obtains clock data approvals from crew supervision to ensure any discrepancies or corrections are addressed in compliance with labor regulations.
- Ensures hours reported for all trades (craft) personnel are compliant with the Electrical Power Systems Construction Association (EPSCA) and other applicable collective agreements.
- Reconciles employee time data with customer biometric clock data to ensure accurate time reporting for invoicing with proper biometric comments, task codes, and approved sell rate verification.
- Produces customer invoicing backup reports.
- Ensures time tracking system(s) sell reports are aligned to the project specific contract terms & conditions.
- Submits weekly timesheet data, and all relevant documentation, to the customer ensuring accuracy, completeness, and compliance with reporting requirements.
- Monitors project progress at site by communicating with Site Supervisors, Site Manager, and Project Manager daily.
- Develops and maintains delay tracking reports that accurately reflect the impact pertaining to the projects scope, schedule, and budget.
- Produces appropriate backup records to facilitate the processing of change orders in compliance with customer contractual and procedural obligations.
- Identifies, analyzes, and resolves operational and administrative challenges to ensure continuous improvement and efficiencies in site operations.
- Supports Project Managers in regular reporting cycles of monthly hour reviews and contractual customer reporting.
- Supports commercial exercises and reports such as customer and vendor invoicing, purchase orders, and business-level reports and analysis.
- Must be able to clear the Canadian Security Intelligence Service (CSIS) government security assessment.
- Valid security clearance for Bruce Power and Ontario Power Generation sites desirable.
- Degree, diploma or certificate in administration desirable.
- 3-5 years' experience working in an administrative capacity within a construction site environment.
- Strong time management skills with the ability to re-assess priorities to ensure due dates are met.
- Strong understanding of enterprise systems, databases, and change management.
- Strong analytical, verbal and written communication skills.
- Well-organized and confident individual with the ability to prioritize work, meet deadlines, and work in a fast-paced environment.
- Highly knowledgeable in Microsoft Office suite of programs, including Word, Excel, PowerPoint, SharePoint, Teams, and Outlook.
- Familiarity with the Electrical Power Systems Construction Association (EPSCA) Collective Agreements and Wage Schedules (preferred).
- Experience with customer site specific training and comprehension of policies, procedures and regulations of the nuclear industry.
- Knowledge of Canada/Ontario Labour Laws.
