In addition, you'll enjoy free parking (under certain conditions) or a discount for using public transport (Opus card), support for work-life balance, an affordable cafeteria, a gym, a corporate discount program and a social club.Under the supervision of the head of social services, the administrative officer at the reception carries out tasks related to welcoming visitors.They know and respect the policies and procedures related to their duties and keep in good condition the equipment and accessories necessary for performing his/her work.They must be able to adapt their work to both needs and circumstances. Responsibilities:
  • Welcome visitors upon their arrival at the reception.
  • Prepare the appropriate documents for visitors (Fastpass, parking card, etc.).
  • Answer, screen, and direct all incoming calls to the hospital.
  • Ensure that the reception area is clear by directing visitors to the desired person or destination (patients, families, deliveries, company representatives, Shriners, medical staff).
  • Guide visitors to the appropriate parking;
  • Ensure that the reception area is tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, and brochures).
  • Provide basic and accurate information in person, by phone, or by email.
  • Facilitate parking for oversized vehicles;
  • Assist the hospital's volunteer drivers;
  • Help facilitate patients' and their families' access to taxis by calling them or providing taxi tickets (if applicable).
  • Ensure the security of the building by following safety procedures and controlling access through the reception (register check, issuing visitor badges).
  • Make intercom calls within the hospital, if necessary.
  • Perform other reception tasks such as filing, photocopying, transcription, and faxing, or any other related function as requested by the immediate supervisor.
Regarding Patient Safety
  • Reports what may represent a potential hazard to staff, patients or visitors (these potential hazards may be biological and infectious, chemical, environmental and mechanical, physical or psychosocial);
  • Attends the emergency measures orientation session and other safety related in-service conferences.
  • Keeps updated with respect to policies and procedures and other relevant material regarding these matters (for example: know the various emergency codes; complete the self-learning modules available on SHINE);
  • Keeps updated with regards to his/her own professional and/or job-related knowledge and practices and ensure that any professional license and/or certification is on file with the employer.
Qualifications:
  • Secondary School Diploma or a certificate of studies whose equivalence is recognized by the competent authority;
  • Diploma in secretarial studies – an asset;
  • At least one year of experience as a receptionist;
  • Bilinguisme anglais et français, oral et écrit;
  • Bilingual in English and French, spoken and written;
  • Ability to work in a team and with the public;
  • Skills in customer service;
  • Autonomy and initiative;
  • Ability to prioritize and multitask.
  • Punctuality.
