- Welcome visitors upon their arrival at the reception.
- Prepare the appropriate documents for visitors (Fastpass, parking card, etc.).
- Answer, screen, and direct all incoming calls to the hospital.
- Ensure that the reception area is clear by directing visitors to the desired person or destination (patients, families, deliveries, company representatives, Shriners, medical staff).
- Guide visitors to the appropriate parking;
- Ensure that the reception area is tidy and presentable, with all necessary stationery and materials (e.g., pens, forms, and brochures).
- Provide basic and accurate information in person, by phone, or by email.
- Facilitate parking for oversized vehicles;
- Assist the hospital's volunteer drivers;
- Help facilitate patients' and their families' access to taxis by calling them or providing taxi tickets (if applicable).
- Ensure the security of the building by following safety procedures and controlling access through the reception (register check, issuing visitor badges).
- Make intercom calls within the hospital, if necessary.
- Perform other reception tasks such as filing, photocopying, transcription, and faxing, or any other related function as requested by the immediate supervisor.
- Reports what may represent a potential hazard to staff, patients or visitors (these potential hazards may be biological and infectious, chemical, environmental and mechanical, physical or psychosocial);
- Attends the emergency measures orientation session and other safety related in-service conferences.
- Keeps updated with respect to policies and procedures and other relevant material regarding these matters (for example: know the various emergency codes; complete the self-learning modules available on SHINE);
- Keeps updated with regards to his/her own professional and/or job-related knowledge and practices and ensure that any professional license and/or certification is on file with the employer.
- Secondary School Diploma or a certificate of studies whose equivalence is recognized by the competent authority;
- Diploma in secretarial studies – an asset;
- At least one year of experience as a receptionist;
- Bilinguisme anglais et français, oral et écrit;
- Bilingual in English and French, spoken and written;
- Ability to work in a team and with the public;
- Skills in customer service;
- Autonomy and initiative;
- Ability to prioritize and multitask.
