- Act as the first point of contact at the front desk, greeting visitors and responding to phone and email inquiries with professionalism and warmth
- Oversee daily office operations to ensure a well-organized, efficient, and productive workspace
- Manage supply inventories, equipment maintenance, and office services
- Assist with onboarding of new team members, including coordinating workspaces and access to systems
- Support the leadership team with calendar management, meeting coordination, and correspondence
- Maintain and organize physical and digital filing systems
- Assist with the planning and coordination of staff events and internal communications
- Perform general administrative duties such as drafting documents, preparing reports, and handling incoming inquiries
- Ensure compliance with office policies and health & safety protocols
- Post-secondary education in Business Administration, Office Administration, or a related field is preferred. An equivalent combination of education and relevant work experience will also be considered
- 3+ years of experience in an office administration or coordinator role, ideally with exposure to office or operations management
- Strong organizational and multitasking skills with keen attention to detail
- Proficiency in Microsoft Office Suite and comfort working with digital tools and platforms
- Excellent interpersonal and communication skills
- A proactive mindset with the ability to take initiative and solve problems independently
- Friendly, professional, and adaptable to a variety of tasks and team needs
