Description :The Grants Accountant supports The Mustard Seed’s grant administration by providing financial oversight across all grant funded activities. This role ensures compliance with grant agreements and financial requirements, maintains accurate financial records, performs detailed financial analysis, and prepares timely financial reports for internal leadership and external funders. The Grants Accountant coordinates grant-related financial processes across departments, ensuring budgets, expenditures, and reporting remain aligned with program needs and organizational financial standards. Acting as a key liaison between Finance, internal departments, and external funding providers, this role helps maintain strong financial stewardship, supports effective collaboration on grant-related priorities, and contributes to the overall sustainability of grant-funded programs.Employment Type: Full-Time

RFR #: 1907DUTIES AND RESPONSIBILITIES
  • Manage the financial oversight of grant-funded programs, including tracking expenditures, balances, and obligations for multiple grants.
  • Monitor grant budgets to ensure spending aligns with approved budgets and donor restrictions; identify variances and recommend corrective actions.
  • Prepare accurate and timely financial reports for funders, program staff, and internal leadership.
  • Ensure compliance with grant agreements, donor requirements, and applicable regulations.
  • Set up new grants in accounting and grant management systems and manage grant closeout activities.
  • Prepare and submit grant invoices, reimbursement requests, and drawdowns; track receivables and follow up on outstanding payments.
  • Reconcile grant accounts and general ledger activity; research and resolve discrepancies.
  • Track and manage restricted and temporarily restricted funds to ensure proper use and reporting.
  • Calculate and apply indirect costs and allocate shared expenses across grants and programs.
  • Assist with grant proposal budgeting and provide financial data, forecasts, and cost justifications as needed.
  • Support grant audit monitoring by reviewing invoices, budgets, and financial reports for compliance.
  • Assist with audits, funder monitoring visits, and Grant Audit preparation by providing documentation and financial analyses.
  • Collaborate with program and development staff to provide guidance on allowable costs, financial procedures, and grant requirements.
  • Maintain complete and organized grant documentation to support compliance and audit readiness.
  • Recommend improvements to grant financial processes, reporting tools, and internal controls.
  • Other duties as assigned.
MINIMUM QUALIFICATIONS AND SKILLS
  • Post-secondary degree in a related field with at least 3 years of experience
  • CPA or GPC/GPCI designation (completed or in progress) considered an asset.
  • Working knowledge of municipal or provincial legislation and Public Sector Accounting Standards (PSAS).
  • Experience in financial accounting, budgeting, financial reporting, financial analysis, risk assessment, and issue resolution.
  • Strong analytical skills, including variance analysis, forecasting, and interpreting financial trends to support decision-making.
  • Experience with grant financial management, including budget monitoring, expenditure review, and compliance with funding requirements.
  • Excellent communication skills, with the ability to explain financial information and provide clear recommendations to leadership and non-financial staff.
  • Experience working with municipal, provincial, or federal government funding streams considered an asset.
  • Ability to work independently with sound judgment, discretion, and a high degree of accuracy.
  • Strong organizational and time-management skills, with the ability to meet multiple deadlines and maintain attention to detail.
  • Ability to collaborate effectively across departments to support consistent, compliant financial practices.
  • Proficiency with financial systems or ERP platforms (Certinia/FinancialForce an asset).
  • Advanced Excel and strong Microsoft Office skills.
