Our commitment to employment equity helps achieve inclusion and fairness, brings rich diversity to UBC as a workplace, and creates the necessary conditions for a rewarding career.Job Description SummaryThe Learning Spaces Analyst works in collaboration with the Senior Facilities Planner, Learning Spaces and is responsible to lead and support a variety of institutional research functions and moderate to complex scale projects concerning learning spaces, student enrolment, institutional activity, surveys, and data exchanges for the University. The Analyst is responsible for taking the lead on planning, designing, conducting and implementing major complex studies, interpreting results, and making formal presentations. Assignments will include designing and analyzing surveys, university modeling, enrolment forecasting, multi-year planning, and initiating support studies to inform executive-level decisions. The position requires the ability to solve complex problems, to maintain confidentiality while working with data of a highly sensitive nature, to direct, oversee and co-ordinate the project-related activities of others, and to communicate effectively both in speech and in writing.Organizational StatusReports to the Senior Facilities Planner, Learning Spaces. Works collaboratively with Senior Facilities Planners, staff from other departments, senior academic officers including Associate Deans, Deans, Directors, Department Heads, Senate Committees, and representatives of other universities.Work Performed- Responsible for the management and maintenance of accurate, and meaningful analysis in a timely fashion for use by senior University officers and University policy committees in the planning of University financial and space requirements and other significant university-wide decisions.- Advises on and provides timely, accurate, and meaningful information for use by Senior Facilities Planners and committees in the formulation of policies and decisions, and the resolution of issues related to learning spaces throughout the University.- Identifies key research and evaluation needs and lead the design, development, and implementation of analytic reports, and statistical information on a variety of subjects including but not limited to benchmarking, performance indicators, access, department profiles, and other inter-university comparisons.- Analyzes enrollment forecasting data and provides models to develop multi-year strategies and functional plans to ensure the University has classroom and teaching lab learning spaces that support the University s long-term academic plans.- Makes recommendations on the type of data that could be used to support metrics/key performance indicators for the purposes of measuring performance of strategic plans, supporting evidence-based decision making and evaluating programs.- Updates and maintains various databases requiring accurate and thorough records for purposes of academic course scheduling and future space planning.- Extracts and synthesizes highly sensitive data from a variety of university databases. Creates and maintains computer programs to produce statistical reports, and participates in the revision of databases or the design of new databases.- Generates descriptive statistics and communicates the results of complex data analysis, whether by statistical summary, the visual display of quantitative information, tabular output, or written description.- Locates, extracts, transforms and cleans appropriate data sets.- Liaises with other university departments and other universities to establish proper understanding of data elements and protocols for the use of databases and reports which are used for space planning.- Assesses current state and identifies improvement opportunities and best practice recommendations for data analysis and visualization.- Responsible for the initiation of projects, plans timely resolutions, validates results, and communicates the results to stakeholders.- Prepares reports and analysis for submission to government agencies.- Leads consultation and makes recommendations on the planning, design, development, and implementation of learning spaces surveys.- Leads consultations with internal clients to identify learning space needs.- Creates documentation for all reporting and analysis projects to ensure a clear governance framework and protocols for continuing management of data.- Audits departmental space, inventories equipment, furnishings and functions carried out within, through ongoing site visits.- Participates in the development of the necessary information systems to support management needs for resource allocation information.- Provides training and mentoring to more junior staff.- Performs other related duties as required.Consequence of Error/JudgementThe Analyst, given initial parameters, would be expected to be able to obtain the necessary data and create the analysis without supervision. Data and analyses produced by the incumbent will be reviewed by the Senior Facilities Planner, Learning Spaces and/or the Director, Facilities Planning. Mistakes discovered at this stage could result in lost time, and perhaps the wholesale revision of the analysis. Errors in accuracy, judgement, tact or communication could result in a significant loss of credibility for the Unit and its initiatives.Supervision ReceivedThis position works with a high degree of independence, having been assigned tasks by the Senior Facilities Planner, Learning Spaces or the Director, Facilities Planning.Supervision GivenManages students as required. - Demonstrates a commitment to enhancing one’s own awareness, knowledge, and skills related to equity, diversity, and inclusionPreferred QualificationsPost-graduate degree in a relevant disciplineUndergraduate degree in a relevant discipline. A Master s degree with an emphasis on social science research preferred.Minimum of six years experienceMinimum of five years experience working in an environment involving research, analysis and measurement, or an equivalent combination of education and experience. Demonstrated quantitative and qualitative analysis. Ability to thrive and adapt to the changing and challenging demands of a planning office. An in-depth knowledge of University policies and procedures, and a thorough understanding of the principles and practice of Institutional Research are essential, including statistical analysis, data-base management and automation, survey design and analysis, and other forms of assessment and evaluation. Ability to anticipate issues related to the learning environment in higher education. Proven leadership skills with the ability to independently move forward the planning and execution of new survey designs, evaluation projects, and research studies involving complex designs/methods and/or sensitive data. Proven ability to work with senior academic officers and professional staff and maintain positive relationships. Demonstrated ability to present information in formal and informal settings and impart understanding of complex ideas and statistics to others. Creative use of research findings in strengthening the learning environment, including effective communication of the results. Sensitivity to diversity and equity issues. Ability to exercise discretion. Effective logical, analytical, and problem-solving skills.
